Adding a Regular Purchase Order Line

  1. After you have completed your purchase order header, click Lines. If you have selected Regular in the Type field on the Purchase Orders form, clicking the Lines button takes you to the Purchase Order Lines form.
  2. To enter a line on the Purchase Order Lines form, select Actions > New.
  3. Specify this information:
    Status
    • Planned: The order is in the planning stage and a firm order has not been made.
    • Ordered: The order is ready to begin processing.
    Item
    Select an item to include on the purchase order. To order a non-inventory item, enter the desired item number in the Item field instead of selecting an item number from the list.
    Vendor Item
    Specify the number which the vendor uses to refer to the item internally if one exists.
    Due Date
    Specify the date that the line is due to be received. The default is the PO order date plus the vendor/item cross reference lead time, if one exists.
    Promise Date
    Specify the date by which the line or release was promised to be received from the vendor. Quantity Specify the quantity of the item you wish to purchase.
    U/M
    Specify or select the unit of measure.
    Note: If you change the date to a new due date and the vendor/item cross reference pricing method is based on the purchase order due date, a message displays stating that changing the due date impacts the cost and asks if you want to recalculate the cost.
    Unit
    If the purchase order line is cross-referenced by a contract line, the associated unit or serial number is displayed. The associated item information is displayed.

    If you select the Non-inventory Purchase Type and try to specify a unit that does not exist, you will be prompted to create the unit.

  4. Specify this information on the General tab:
    Warehouse
    Specify or select the warehouse which will receive the purchased goods.
    Reference
    Select a Reference type:
    • Inventory
    • Transfer
    • SRO
    • Incident
    • Incident Event
    SX.e PO
    When the SX.e integration is enabled, the SX.e purchase order number is displayed.
  5. Specify this information on the Costs tab:
    Material
    Specify the price to pay for the material portion of the item on a per-item basis.
    Note: If you are integrated with Distribution SX.e, then this field is disabled after a purchase order line is created.
    Freight
    Specify the price to pay for the freight portion of the item on a per-item basis.
    Note: If you are integrated with Distribution SX.e, then this field is disabled after a purchase order line is created.
    Duty
    Specify the price to pay for the duty portion of the item on a per-item basis.
    Note: If you are integrated with Distribution SX.e, then this field is disabled after a purchase order line is created.
    Brokerage
    Specify the price planned to pay for the brokerage portion of the item on a per-item basis.
    Note: If you are integrated with Distribution SX.e, then this field is disabled after a purchase order line is created.
    Plan Cost
    Specify the price planned to pay for the item on a per item basis.
    Note: If you are integrated with Distribution SX.e, then this field is disabled after a purchase order line is created.
  6. Specify this information on the Drop Ship tab:
    Drop Ship Address
    Select how the drop ship address should correspond to this line:
    • None
    • Customer Number
    • Drop Ship To
    • Warehouse
    • Partner
    • Hold For Pickup
  7. Specify this information on the Tax Info tab:
    Tax Fields
    Specify the tax codes that identify the tax rate that applies to this item.
  8. Specify this information on the EC Vat tab:
    NOTC
    Specify the nature of transaction code used in the European Community.
    Delivery Terms
    Specify the code for the terms of delivery.
    Process Indicator
    Specify the code for the process indicator, which is used in setting up the EC Sales List Report for companies in European Community (EC) countries.
    EC CODE
    Specify the European Community (EC) code.
    Origin
    Specify the code for the country where the item originated and is only required in certain European Community (EC) countries.
    Commodity
    Specify the code to be used for this particular commodity.
    Suppl Units
    Specify the multiplication factor to use when converting from the standard unit of measure to the supplementary unit of measure for this commodity.
    SSD Value
    Specify the Supplementary Statistical Declaration (SSD) Value, which is used in some European Community (EC) reports.
    Unit Weight
    Specify the weight of one unit (as defined by the U/M field) of the item.
    Consignments
    Specify the number of consignment shipments.
  9. Specify this information on the Fixed Assets tab:
    Asset Number
    The fixed asset number associated with the PO line is displayed.
    Department
    The department associated with the fixed asset is displayed.
    Class Code
    The fixed asset class code is displayed.
  10. Save the record.
Note: Purchase orders can be cross-referenced to inventory, transfers, SROs, incidents, and incident events. All automatic cross-references must be created from those areas of the system. Otherwise, the references must be entered manually on both sides of the cross-reference.
Note: If you select the Contains Tax Free Matl check box on the Purchase Orders form, you can only add lines that contain tax-free imported materials.
