Displaying Inventory Available for Rent

  1. Open the Time Phased Rental Inventory form.
  2. Filter for the item for which you want to view availability. A description of the item is displayed.
  3. This information is populated based on the item:
    Warehouse
    The warehouse associated with the item is displayed.
    Location
    The location of the item in the warehouse is displayed.
    On Hand
    The total quantity on hand for the current item, warehouse, and location is displayed.
    On Rent
    The total quantity on contract lines that is checked out for the current item, warehouse, and location is displayed.
    Available to Rent
    The total available to rent is displayed. This quantity is found be subtracting the quantity on rent total from the quantity on hand total.
    Rental Stock
    The total rental stock for an item, including fixed assets, is displayed.
  4. This information is populated based on the location:
    Rental Stock
    The total on rent plus available to rent for the current item, warehouse, and location is displayed.
    On Rent
    The total quantity of contract lines currently checked in for the current item, warehouse, and location is displayed.
    Available to Rent
    The total inventory available for rent for the current item, warehouse, and location is displayed.
    Allocated to Rent
    The total inventory allocated for rent for the current item, warehouse, and location is displayed.
  5. Optionally, select Include Rental Assets to include fixed assets that are marked as rental assets in the detailed rental quantity projections.
  6. Optionally, select a unit for which you want to view availability.
  7. Click Refresh to repopulate the grid. The grid is populated by any contract line that is currently open or will be started in the future. A contract line can be displayed twice.

    The first row of the grid shows the current quantity that is available to rent. The additional rows show how the quantity changes over time based on check ins and check outs of future rental contracts. This information is displayed in the grid:

    • Date: The Start Date or Projected End Date for the contract is displayed.
    • Projected Qty Avail to Rent: The running total is displayed. This value increases if the contract line is being checked in and decreases if a new contract line is starting.
    • Quantity: The quantity from the contract line is displayed. This value is positive if the contract line is being checked in and negative if it is being checked out.
    • Contract Line: The contract line being checked out/in is displayed.
    • Customer: The customer from the contract is displayed.
    • Unit: The serial number from the contract line is displayed.
