Creating a Quote for an Opportunity or Service Order

  1. Open the Quotes form. You can open the form from the Explorer or by clicking Quotes on the Service Orders form or Opportunities form.

    If you opened the form from the Service Orders form or Opportunities form, the Reference, Reference Number, and Description are displayed by default.

  2. If you opened the form from the Explorer, select Actions > New.
  3. Select Service Order or Opportunity as the Reference.
  4. Select the particular service order or opportunity for which you want to create a quote. A description of the reference is displayed by default, as well as key information from the reference in the header fields and on the General tab.
  5. On the Sections tab, you can select pre-configured quote sections to add to the quote. You can click the Copy from Template button to quickly pull in quote sections based on the pre-defined templates and append them to the end of the existing section.
  6. Save the record.

    The quote header is created and applicable fields are populated by default from the service order or opportunity header. Quote lines are created from the service order estimate transactions or opportunity lines that currently exist.

  7. The Active check box is selected for new quotes or when the current quote is the latest revision and the reference is in a quotable status. For example, if an opportunity is not won or lost or a service order is in estimate status. When a quote is not active, the form is locked and only a few buttons are enabled.
  8. On the Lines tab, you can review and edit the quote lines. Any changes you make in the grid are also made to the linked opportunity lines or service order estimate transactions.
  9. On the Print Options tab, you can select the print options for the quote. Service order quotes and opportunity quotes have different print options.

    Optionally, in the Task Name Override field, specify a different output instead of the default quote. If quote sections were copied from a quote template, the value is displayed by default from the quote template.

  10. On the Signature tab, you can capture a customer's signature. Click View Past Signatures to launch the Signatures form and view all captured electronic signatures.

Use the buttons on the form as described here:

  • Click View Reference to open either the Service Orders form or Opportunities form, linked to the service order or opportunity that is associated with the quote.
  • Click Create Revision to create a new quote revision.
  • Click Reuse Revision to reuse a prior revision and make it the current version. This button is disabled if the current record is for a service order quote or if the revision is the most current revision.
  • Click Print Preview to view a preview of the print output.
  • Click Print Quote to print the quote.
  • For service order quotes, click Approve Estimate to convert the estimate quote to an open service order and to copy the estimate transactions to planned transactions. After a quote is approved, it can no longer be edited.
  • Click DataView to open a form displaying the quote information in a DataView. Use the DataView layouts to review the details by expiration date, customer, quote reference and revision, or date.
  • Click Recalculate to generate a new sales tax amount after updates. The button is only enabled under these circumstances:
    • Reference is Service Order
    • The reference number is populated
    • The current quote is not the latest revision and is inactive
