Adding a New Line Item for a RFQ

  1. On the RFQ Items form, select Actions > New.
  2. Specify this information in the header section:
    RFQ
    Select the RFQ for which you want to add a line item.
    Line
    After saving the new record, the system generates the next sequential line number.
    Status
    For new records, the line status is Open.
    Due Date
    Select the date when the work is due.
    Item
    Select the item that you want to add to the RFQ. The item description and unit of measure are displayed.
  3. If applicable, the purchase order, line, and release numbers are displayed for the RFQ. Click View PO to open a modal form where you can view additional details about the PO.
  4. Optionally, click Create PO to open a modal form where you can create a purchase order for the RFQ item.
  5. Specify this information on the General tab:
    Reference
    Select the type of record to cross-reference. You can use the three ID fields to specify existing records. If left blank, the system creates a new record of the reference type specified when the x-ref is performed.
    Preferred Lead Time
    Specify the number of days that the vendor has indicated they would need to fill order.
    Selected Vendor
    Select the vendor that you want to fill the order. Optionally, click Select to open the RFQ Vendor Selection form, where you can select the vendor with the winning bid for this RFQ.
    Selected Quantity
    Specify the number of RFQ line items that the vendor is responsible for delivering.
    Selected Price
    The price based on the vendor and quantity selected is displayed.
    Reply Date
    Select the date by which the vendors are to reply.
    Quantities To Price
    Specify the break quantities that you want priced by the vendor.
  6. The Attachments grid lists files associated with the RFQ item. Use these attachments to provide additional details and specifications to assist the vendors in preparing their quotes. Click Add and Delete to maintain the list of attachments. Click View button to display the attachment.
  7. The grid on the Vendors tab lists this information for each record:
    • Sequence number
    • Status
    • Vendor number, name, phone and fax number
    • Vendor item
    • Request date
    • Distribution method
  8. Click Generate Vendors to open the RFQ Line Generation Method modal form.
  9. Click Send Quote to send the request for quote to the vendor.

Use the buttons on the form as described here:

  • Click Send All Quotes to send the full list of requests for quote to the vendors.
  • Click Vendors to open the RFQ Vendors form.
