Working with Functional Area List tab
This tab displays all the functional areas created or imported in the application. Details such as the Insight for which they are created and the description are also displayed in their respective columns.
You can perform these actions from this tab:

Create a functional area.
You can create functional areas to be used in approval process as well as to define emergency access roles. When used in approval processes, functional areas ensure that requests are routed to the correct approvers without the limitation of hard coding approvers in approval process templates. If emergency access to a role is required, functional areas ensure that users assign themselves the correct role.This page enables you to create new functional area for the following:
- Approval Process
- Emergency Access: You can mark functional areas as Emergency Access functional areas either while creating or modifying them. These functional areas are available only for Emergency Access requests and not for approval processes.
To create a functional area for approval process or an emergency access, provide information on the following tabs:

Definition: The process remains same for both.
- In the Name field, specify a name to identify the new functional area.
- From the
Insight drop-down
list, select the required Insight. The drop-down list displays all
Authorization Insights installed with the application.
Note: The drop-down list displays all Authorization Insights for Approval Process and all Insights for Emergency process as installed with the application.
- Provide a description for the functional area, if required.
- Click the
Save and Continue
icon to define the functional area scope.
The Scope tab is displayed.

The
Scope tab in Approval
Process allows you to define the hierarchy of the functional area from the
topmost level to the bottommost level. Because the approvers are to be added at
the last level of the sub-functional area hierarchy, it is recommended that the
entire hierarchy be created first and values added later. The
Scope tab in Emergency
Access enables you to select the roles/responsibilities that can be self
assigned through Emergency Access Requests. Click
Add Scope to define
the first scope (sub functional area) and specify this information in the panel
displayed below: .
- In the Sub Functional Area Name field, provide a name for the sub functional area.
- From the Functional Area Variable drop-down list, select the required functional area variable with technical name Role/Responsibility. All the variables created in Infor Risk & Compliance for the selected Insight are available for selection.
- The Applies to Emergency Access Requests check box is enabled only if the functional area variable with technical name Role/ Responsibility is selected. Leave this check box cleared as this is a functional area for approval processes.
- Use the
Naming Convention Mapping or the
Explicit Mapping panel or both to
associate specific values to the scope and to assign specific
roles/responsibilities to the selected functional area variable. You can also
assign specific approvers for these objects. For example, select Role in the
Functional Area
Variable field, Role 1 and Role 2 in the
Value field from
any one of these panels and User 1 in the
Approvers field.
In this case, when a request for Role 1 or Role 2 is created, it is routed to
User 1 for approval.

Naming Convention
Mapping panel
Use this panel to associate specific objects to the selected functional area variable or to provide the naming convention for certain objects. For example, specify A* (with the wildcard * or ?) in the Value field to associate all the objects (associate all roles/responsibilities) starting with A with the scope (the variable) of the functional area. Expand the Naming Connection Mapping panel and specify this information:
- In the Value field, provide the naming convention for the specific object. For example, A*.
- In the Approvers field, specify the required approver. Multiple approvers may be selected.
- Click Add to List. The naming convention and approvers selected are displayed in the panel below.
- The object is displayed as a hyperlink. Click the link to change the object or the approver. The Update List tab is displayed. Click this tab and make the required modifications.

Explicit Mapping panel
Use this panel to associate specific objects with the selected functional area variable. Expand the panel and specify this information:
- The objects displayed in the Value drop-down list depend on the functional area variable selected in the Functional Area Variable field. For example, if Connection is selected, all the Insight specific connections available in the application are displayed. Select the required object. For example, if Role/Responsibility is selected in the Functional Area Variable field, all the Insight specific roles available in the application are displayed. Select the required object.
- From the Approvers drop-down list, select the required approver for this object. Multiple approvers can be selected.
- Click Add to List. The selected object and the approver (object) are displayed in the grid below.
- The object is displayed as a hyperlink. Click the link to change the object or the approver. The Update List tab is displayed. Click this tab and make the required modifications.

- Click
Add to add these
objects and assigned approvers to the sub functional area.
Note: All the roles/responsibilities added to functional areas for emergency access are . available to be self assigned through requests.
- Click Add Scope to add another scope. All additional sub functional areas are added below the first one.
- After adding all
the required scopes, click
Save and Close
to save your changes to the database.
If you are adding only one scope, you have to add approvers to this scope. On the other hand, if you are adding multiple scopes, only the leaf level approver is considered in approval stages. For example, if you add sub functional areas for the functional area variables Connection, User and Role (in this order), the approver associated with Role is only considered for approval.Note: A maximum of five levels of sub-functional areas can be added.

Modify a functional area as follows:
- On the Functional Area page, click the link of the functional area to be modified. The page for that functional area is displayed.
- Make the required changes and click Save.
- To delete a functional area, select the check box next to it and click the Delete icon.

Enable or disable a functional area.
Icons next to the functional areas indicate the status of the functional areas as below:
- An icon indicates that the functional area is enabled.
- An icon indicates that the functional area is disabled
- To change the status of the functional area, click the icon next to it. To change the status of multiple functional areas, select the check box next to the required areas and click the Edit icon and depending on the requirement select, Enable or Disable.
