To Do
The To Do tab lists all reviews that the signed-in user needs to take action on. This tab also displays the action allowed by the signed in reviewer, the status of review, review details such as name, process name and review type, the current stage of the review, and the time available for the signed-in user to take action on the review. The Comments icon next to a review indicates that comments have been added by the assigned stage reviewers. Click the icon to view all the comments.
This tab enables signed-in reviewers to view the progress of all reviews assigned to them and take actions on them, depending on the status of the Action allowed column. If the signed in reviewer is not allowed to take action on the primary objects, the signed in reviewer must navigate to the secondary objects and take action on them individually. The status of the Action allowed column can be reset by the Administrator while adding stages for a process.
Depending on the action taken, the status of the review changes. The status changes as follows:
- If all the secondary objects have the status Pending , the status on the To Do tab is Pending
- If action has been taken on only a few secondary objects, the status on the To Do tab is Partially Reviewed
- If action has been taken on all the secondary objects of a process, the status on the To Do tab is Reviewed
Once a review process is executed, stage reviewers receive an email notification that the reviews assigned to them are available for review on their To Do tab.
The following reviews are displayed on this page:
- Unread reviews: These reviews are displayed in bold text.
- The icons next to the reviews indicate the status of the review. Hover your mouse over the icon to view the status of the review.
- Reviews without secondary objects. These are the review objects for which there are no secondary review objects associated while creating the review process.
- Search for a review
- View the review summary: Click More next to a review, to view the summary of the review. The Summary window displays details such as action taken by the signed-in reviewer on the secondary review objects, data sources selected for the process and the process name. Other details such as the number of reviewers assigned for the review and the current stage of the review are also displayed.
- View comments: Click the Comments icon next to the review. The Comments pop-up window displayed enables reviewers view comments added by the assigned reviewers. The date and time displayed on this tab is according to the local time zone configured on the Preferences page.
- Take action on assigned
reviews: The action taken here is the action performed on the primary review
object and applies to all the secondary objects associated with that review.
However, if the signed in reviewer is not allowed to take action on the primary
objects, reviewers can take action on the secondary objects individually on the
Review Details page. To take action on a review, select
the check box next to the review and click one of the following:
- Approve: Click
the
Approve icon to approve
the review. This is global approval; that is, all the secondary review objects
are also approved.
Note:The process occurrence moves to the History tab after all the reviews in that process occurrence are committed.
The Comment text box will pop-up only if you have chosen to enforce comments on approval of processes.
Note: Individual secondary objects participating in the review can be approved on the Review Details page. - Reassign
To: To reassign reviews to other users:
- Select the
required review and click the
Reassign To icon. A
window is displayed that enables you to search and select the user to whom the
review is to be reassigned.
Note: Before reassigning reviews, ensure that the popup blocker of your browser is enabled.
- Click
Save and Close.
Reassigned reviews are no longer be displayed on the
To Do tab of the
signed-in user, but are displayed on the
To Do tab of the
reassigned reviewer.
Note: Individual secondary objects participating in the review can be reassigned on the Review Details page.
- Select the
required review and click the
Reassign To icon. A
window is displayed that enables you to search and select the user to whom the
review is to be reassigned.
- Lock: You may
have to lock a review for one of the following reasons:
- You may need more information on the review objects before taking action.
- You do not want
other stage reviewers to take action on the review.
Select the review to be locked and click the Lock icon. The review is locked and indicated by the locked icon. The reviewer who has locked the review can take action on the locked review.
However, a locked review may get unlocked automatically in the following scenarios:- If the review is escalated.
- If a Process Administrator reassigns the locked review to another reviewer, the review gets unlocked and appears on the To Do tab of the reassigned reviewer.
- If the reviewer who has locked the review takes action on the locked review.
- Comment:
Reviewers can add their comments about specific assignments. Subsequent
reviewers can view these comments when the review appears on their
To Do tab. To
comment on a review:
- Select the review to be commented and click the Comment icon. The Comments pop-up window is displayed.
- Select the check box to share your comment with Infor Xi colleagues or groups.
- In the
Colleagues and
Groups fields
displayed, select the Infor Xi colleagues or groups with whom you want to share
the comment. These colleagues and groups will receive a notification on their
Feeds page.
Note: The Colleagues and Groups fields are populated with colleagues and group names only for Infor Xi.
- Add your comment and click Save.
The next stage reviewers can view other comments and add their own comments when they click the Comments icon next to the review.
Note: You can comment on individual secondary objects participating in the review on the Review Details page. - Deny: Select a
review and click the
Deny icon to reject
the review. All the secondary review objects are also denied and the review is
considered complete even if additional
review stages are set up.
For example, there is a review with 3 review stages. The review is approved by the first reviewer but the second reviewer denies the assignments. The review will not be routed to the third stage reviewer and is marked as complete.
The denied review is moved to the History tab only after all the reviews in that process occurrence are committed by the assigned reviewers.Note: Individual secondary objects participating in the review can be denied on the Review Details page. - Commit:After
you approve or deny a review, select the review and click the
Commit icon to
confirm your action and route the review to the next stage reviewer or to the
sign-off auditor. If you select multiple reviews and click the
Commit icon, only
those reviews which have been approved or denied are routed to the next stage
reviewer. The reviews on which action has not yet been taken are not committed.
These reviews remain in the
To Do panel of the signed-in reviewer.
Note: The Commit option is displayed only if you have selected the Make comment mandatory for the Process check box when defining the certification process.
- View
violation details: This feature is available only for reviews of
Authorizations Insight for SAP.
To view violation details, click the Violation Details button. The generated violation report displays the user or the role violations of the currently selected primary object.
Note:- The Violation Details button is displayed only if you select the check box Enable Authorization Insight violations report launching on the Reviews tab of the Configuration page
- The Violations Details button appears enabled only if the all required Report Server details is provided on the Infor Risk & Compliance Server settings tab of the Configuration page.
Note: Reviewers can approve or deny and commit reviews from this page; only if the check boxes to Approve/Deny at Summary Level and Commit at Summary Level are selected on the Reviews tab of the Configuration page. If these check boxes are not selected, reviewers have to take action on individual secondary objects from the Review Details page. - Approve: Click
the
Approve icon to approve
the review. This is global approval; that is, all the secondary review objects
are also approved.
- View review details and take action on each secondary review object
