Ready Processes

A Certification Manager process defines the objects to be reviewed, the reviewers to review them as well as the date and time to execute the review process.

Certification Manager enables you to create standard as well as custom processes. These processes can be executed to generate reviews and assigned reviewers can take action on these reviews.

The Processes page enables you to:

  • Create processes to review users and certify their role assignments across ERP systems and other business applications on a regular basis.
  • Review and manage many business processes and data such as rules in a rule book and owners of compensating controls.
  • Create custom processes depending on your requirement. These custom processes give you the flexibility to create a process for virtually any type of certification process.
  • The Process page: The Processes page lists all processes created in Certification Manager with details such as name, review type for which the process is created, process owners and the data sources associated with the process. If multiple data sources are associated, the Data Source column displays the data source as a hyperlink. Click the hyperlink to view all the data sources associated with that process.

    Processes are displayed on the Ready tab or the Draft tab, depending on their status. Processes deleted from the system are listed under the Recycle Bin tab.

  • Processes in the Ready stage: The Ready tab lists all the processes that are ready to be executed as well as the processes that are already executed .

    The icons next to a process indicates the status of the process. Hover your mouse over the icon to know the status.

From this tab you can:

  • Search for a ready processes
  • View details of the process: Click the process name link to view the details of the process. This page also enables to modify the process details.
  • Create or modify a review process
  • Execute a process: Click the Execute option next to a process to execute that process and create an occurrence. A confirmation pop-up window is displayed. The Enable Notification check box displayed in this pop-up window is selected by default. This means that email notifications for all events of this process are sent to the assigned stage reviewers. Clear this check box if you do not want the email notifications to be sent out. The progress of this task can be tracked on the Tasks page. After the task is complete, reviews generated for this process appear on the To Do tab of the Active Reviews page and in the Inbox of all the first stage reviewers.
  • Maintain Occurrences: A review process can be a one-time process or you can schedule it to recur many times as per a defined schedule. The Maintain Occurrencesoption is displayed in the Actions column only if the process is executed once.

    Click the Maintain Occurrences option in the Actions column to view the details of the occurrences. The Maintain Occurrences pop-up window displayed lists all completed and active occurrences for that review process. The details of occurrences such as the run date and closed date are also displayed.

    The icon next to an occurrence indicate the status of the occurrence. Hover your mouse over the icon to view the status.

    You can take the following actions from the Maintain Occurrences pop-up window:
    • Set Top Priority On: Click the Set Top Priority On option next to an occurrence to set the occurrence to top priority. The assigned stage reviewers can view the reviews generated for this process occurrence as top priority reviews in their inbox.
    • Set Top Priority Off: To set the top priority off click the Set Top Priority Off option next to an occurrence.
    • Terminate occurrence : Click the Terminate next to an occurrence to terminate that occurrence. Process occurrences that are Active (indicated by the Active icon) can be terminated.
    • Delete occurrences: The delete icon is displayed next to terminated or completed occurrences only. Click the icon to delete the occurrence.
  • Delete a process: Select a process and click Delete. When a process is deleted, active occurrences of the process are not terminated. Active occurrences will be completed even after the process is deleted.
    Note: If a process is deleted, all notification subscriptions created to for this process are automatically cancelled.

Click the Draft tab to view all the processes saved in the draft mode. To view deleted processes, click the Recycle Bin tab.
