Scheduling the report

The fields displayed on this page vary depend on the selected report.

  1. Provide a report name and description for the report.
  2. Select Keywords to associate with the report.
  3. On the Filters panel, select the required filters to scope the information you want to view in the report.
  4. While creating a schedule for a report you have the flexibility to run the report at a specific date and time or for a specific extraction or analysis. On the Schedule Report panel, select one of the following options.
    The Schedule Report panel is displayed only if you visit this page through the Schedule New Report page. If you visit this page through the Reports tab by clicking a report link, this panel does not appear.
    • Analysis based

      Select this option to schedule the selected report for a specific analysis. You can select an analysis scheduled by you or an analysis scheduled by other users. This drop-down list is enabled if scheduled analyses exist in the system. From the Analysis drop-down list, select the analysis to schedule the report. The Analysis field displays the date and time of the selected analysis. A message is also displayed providing the estimated date and time required to generate the report.

    • Extraction based
      Select this option to schedule the selected report for a specific extraction. This drop-down list is enabled if scheduled extractions exist in the system. From the Extraction drop-down list, select the extraction to schedule a report. The Extraction Scheduled field displays the date and time of the selected extraction. A message is also displayed providing the estimated date and time required to generate the report.
      Note:  If reports are scheduled based on an extraction or an analysis, and if the extraction or analysis is deleted from the Schedules page, the system displays a warning message informing you that all the reports based on that extraction or analysis will be deleted.
    • Time based
      Select this option to schedule the selected report on a specific date and time. To schedule a time-based report:
      1. Select one of the following options:
        • Run Now : Select this option to run the report immediately.
        • Run Later : Select this option to run the report at a later date. As you select this option, the fields to select the date and time to run the report are displayed.
      2. Provide the start date and start time in their respective fields. The dates selected here are according to the time zone defined on the Preferences page. The report is generated at the selected time.
      3. From the Recurrence drop-down list, select an option depending on how often you want the selected report generated.
      4. By default, the Always use latest analysis check-box is cleared. If an analysis is scheduled to recur at regular intervals, you have the option to select this check-box to generate the report for the latest analysis schedule. However, selecting this check-box will override all the other filters selected to generate this report.
      5. Select the check box in the Schedule Report panel to get the latest report. The Specify Period field will be displayed.
      6. Specify the number of days of which you wish to generate a report. For example, if you enter 7 in the Specify Period field, the report of the last 7 days will be generated. This helps you get the latest report without having to repeatedly set the Start Date and Start Time.
        Note:  The time and date of the previous analysis and the next scheduled analysis is displayed on the User Interface. This is according to the time zone defined on the Preferences page.
  5. Select the check box Store in my Infor Risk & Compliance Inbox to store the output files in your Inbox each time the report is generated.
    Note:  All scheduled report names are appended by the schedule creation date and time. The date and the time displayed depend on the settings configured on the Preferences page. This helps in uniquely identify the report subscription.
  6. Select the check box Send by Email, to send the output files of each report by email. When you select this check box the following fields appear:
    • Infor Risk & Compliance Users

      Type in a part of the user name or click to browse for and select users who are to be informed by email. By default, the name of the signed in user is automatically added as long as the user has a valid email ID in Infor Risk & Compliance.

      Important: If the email ID of one of the selected Infor Risk & Compliance users is invalid, email notifications are not sent to any of the selected users.
  7. From the Output Format drop-down list, select the format in which the report should be generated.
    Note: If the Web Archive format is selected, you need to save the web archive file to your local machine before opening it. Unless this is done, images will not be displayed in the report.
    You can display the report in the CSV without report format. CSV without report format is displayed in the Output Format drop-down list if the report server and the application server are deployed on the same machine. If the servers are deployed on different machines, then to view and select this format from the drop down list, after activating Infor Risk & Compliance services you must:
    1. Copy the ApprovaRenderingExtension.zip f from [Install Path]/BizRights/ MSSSRS to the machine on which the report server is deployed.
    2. Extract the files from ApprovaRenderingExtension.zip fie and run DeployApprovaRenderingExtension.exe file.
    After running the DeployApprovaRenderingExtension.exe file successfully, the following files will be copied to the ReportServer/bin:
    • Approva.ReportingServices.CSVWithoutReportFormatRendering.dll
    • Approva.SSRS.ResourcesEx.dll
    • ApprovaOneReportingLanguagePack.zip
    • DatabaseConfig.xml
    • ExportReportRender.xml
    • ReportSettings.xml
  8. Click the Run on Demand icon to generate the report or Save and Close to schedule the report. The scheduled report now appears on the Scheduled Reports tab as well as on the Report Subscription panel of the Schedules page and on the Tasks page.
    Note: Click Enable Notification to notify users via email whenever this report is generated.
