Process flow
This sequence outlines the process flow when you run the solution:
- Emails with product certificates in attachments are received in a specified email account folder. Alternatively, the product certificates are also received in a specified local folder.
Note: When the RPA bot is configured to run in attended mode, it monitors the mailbox of the specified email account.
- In RPA, these key values are extracted from the certificate using Optical Character Recognition in IDP:
- Certificate number
- Certificate owner
- Product class and appendix
- Validity dates
- Certified product, product group, or category
- The extracted values are verified for accuracy and completeness. Additionally, the extracted data is used to identify the Supplier/Partner code.
Note: If multiple Suppliers/Partners are detected, the RPA job is kept for review.
- The BOM lines in PLM for Fashion are verified to ensure that valid certificates are available for each material component. Additionally, the BOM lines are filtered to include the material BOM lines relevant for the certification.
Note: If no valid certificate is found, the RPA job is kept for manual review.
- The extracted data is matched against the filtered BOM lines in PLM for Fashion using a specific matching logic. Additionally, when a new certificate is available for a BOM line, the validity of the existing certificate is verified. If the existing certificate is not valid, it is updated with the new certificate number based on the defined matching logic.

- After a match is confirmed, the matched certificate number is filled in the Certificate field in the BOM line. You can store additional metadata in extended fields or linked records.
- The certificate is uploaded to IDM with the appropriate attributes, and a notification is sent to a designated user or group through the Inbox.
