Adding Infor Document Management related documents

You can add file attachments to BPMN Models and Process Maps during modeling. These files are stored in Infor Document Management (IDM) in the predefined IPI_Document document type. To be able to add or download documents, users must have the IDM-User security role.

In Process Viewer, the file attachments are listed in the Related Documents section of the Process Attributes tab or the individual elements' Attributes tab.

You can add related documents to these places:

  • BPMN Model diagram level
  • BPMN Model elements: Task, Collapsed Sub Process, Exclusive Gateway, Data Object
  • Process Map diagram level
  • Process Map elements: Rectangle, Circle, Image, Text

To add a file attachment:

  1. Open the model in edit mode and locate the Related Documents section on the attributes panel.
  2. In the Related Documents section, click + to add a new document. In the Add Document dialog box, select one option as applicable:
    • New Document:Upload a file from the local storage as a new file in IDM
    • IDM document: Search and select from files you have previously updated to IDM
    • External link:Search and select a predefined registry entry of type External link that contains a URL. Only unlocked categories of type External link for which you have design permissions are shown. If assisted modeling is enabled, the applicable subcategory is preselected
    Alternatively, when the External link option is selected and a category is displayed, you can click Add Entry to create a new registry entry with a label and URL
  3. Click Apply to confirm your selection.
  4. Use the other options on the toolbar to update the list of documents.
  5. Optionally, to edit a related document link that is based on a registry entry:
    1. In the Related Documents panel, select the link entry.
    2. Click Edit to edit the label and URL for the entry.
    3. Close the Registry Entry screen to return to the modeler view.
    Note: The Edit button is not available if:
    • The registry entry belongs to a locked category.
    • You do not have design permissions for the category that contains the registry entry.
    Note: 

    Process Map 1.0 content and existing content that contain related documents that use the Link to a web resource option remain unchanged.

    Links are visible in design mode and viewer mode.

    To add a new link, use a registry entry of type External link.

    You can search for and select a registry entry of type External link when you add the link.
