Version types

Versions can have the Draft or Approved status.

Under special circumstances, you can generate a read-only draft when performing a folder import. That read-only draft is in read-only mode and is not visible to a Viewer user. You can view and manage versions from the Version History widget from the left side panel in the BPMN Modeler and the Process Map Designer.

There can be multiple approved versions and read-only drafts but just one draft in which all changes are performed. A draft is always the most recent version, indicated by the highest available version number.

The latest approved version is shown to the viewer user in the Processes menu, and is used in the Document Generation feature. Approved versions are read-only; thus changes can be made only to a Draft version. These can then eventually be turned into approved versions.

This table gives an overview of the icons used with the versioning feature. The first two are displayed in the Version History widget in the left-side panel of a BPMN diagram or a Process map. The third icon is displayed in the top toolbar with the name and type of the currently open diagram version.

Action Icon Description
Approve Approved This action can be applied only to a draft version. It triggers a pop-up window that prompts the approver for version comments. After these are provided, the draft version becomes the latest approved version.
Edit Edit This action can be performed only on versions with an approved status and read-only draft. When clicked, it prompts the user for confirmation before creating a new draft or overwriting the existing draft with the version for which the edit icon was clicked.
Version History History This button is enabled when the left-side panel containing the process name and last updated by/on is closed. It opens the panel and the version history, and it functions as a shortcut.
