IFS document authorizations

Use IFS document authorizations, to limit the documents a user can see. You can limit document authorizations that are based on these criteria:

  • Document type
  • Accounting entity
  • Location

You can limit document authorizations in these applications:

  • In Infor User Management, ensure the Security Roles of the user has the Document authorizations configured.
  • In ION, ensure the Desk profiles of the user with the permission Document Content is set to User Role managed.

To model the document authorizations:

  1. Log on to the Infor User Management application.
    • Ensure that the user is configured as an IFS user.
    • Ensure that the user is assigned the appropriate security roles, accounting entities and locations.
    • Ensure that the security roles of the user have configured the appropriate document authorizations.
  2. Log on to the ION application.
  3. Select Authorizations > Desk Profiles.
  4. Open the details for the profiles relevant for involved security roles.
  5. Expand the permissions tree for OneView.
  6. Set the permission Document Content to User Role managed.
    If multiple security roles are linked to a single user, resulting in Document Content permissions of both All documents and User Role managed the All documents permission prevails.
