Managing a DSR case

This chapter provides details for managing a DSR case.
After the DSR is successfully created and sent to the application teams, the status of the DSR goes from Created to Searching. The status of the DSR then goes from Searching to Received after all components have sent a response. After a DSR is received, you can click Manage to view the case by component and view the results for the case. You can see only components that have been selected for the DSR case at creation. To manage a DSR case:
  1. Follow the process for Creating a DSR case.
  2. Click Manage. The Manage Results page displays information similar to this example:
Component Results status Execution history Download file Results
Collaboration Received - -
When using the refresh key, you can refresh the page to see if the Result Status of a given component has changed. These are the result statuses that you can receive:
  • Searching: when the application searches for the personal information in the database
  • Search Error: when the application search fails to find personal information in the database
  • Received: when GDPR receives the personal information from the application
  • Executing: when the application executes the request made in the DSR case.
  • Executed: when the request is met by the application
  • Execution Error: when the request cannot be processed during the execution

The Download File field is available only when you select Download for a record in that component and executed the case. Execution History is viewable only after you click Execute, displaying information similar to this example:

Action Successful No Response Failed
1/20/2021 02:33 PM
Download 1 0 0

Users must mark records for an action before executing by selecting the arrow in Results. These actions are download, update, delete, anonymize, and stop processing. Clicking Execute processes the requests. Only one request type per record can be selected for an execution. All executed actions are permanent and cannot be undone. A prompt is generated for you to confirm that you want to execute the case.

Note:
  • At least one record in the case should be marked for an action to execute.
  • All components for the DSR case should be received to execute.
  • Some actions may not be allowed for certain records. You see only the allowed actions for each record in the dropdown list.
