Document owners
The Documents Owners functionality provides another layer of security and flexibility in
Document Management. Through this functionality, specific users can access certain
documents.
Normally, only users with an appropriate role can access documents of a document type. An appropriate role is a role that is part of one of the document type’s Access Control Lists (ACLs). ACLs are sets of user roles and privileges.
Through the “Documents Owners” functionality, specific other users without such a role can also access certain documents of the document type. Such a user can access a document if these conditions are met:
- The "Enable Owners" functionality is activated for the document type.
See Activating the “Enable Owners” functionality for a document type.
- The document type has an ACL that includes the “IDM-Owners” role.
- The user is listed as owner of the document.
For an example, see Document owners – example.
Note: Security in Document Management
is inclusive. Therefore, a user has the combined permissions specified by an ACL or an
Owner.
