Setting up the archive feature

Use this procedure to enable the archive feature so that you can archive purged data.

Note: You must first enable the data archiving feature through the feature toggles. See Enabling feature toggles.

You must also update the configuration parameters. See Infor Landmark Technology Library (Cloud) and select Administration > System Administration > Purging and Archiving Procedures > Enabling the archive feature.

  1. Configure security roles for archiving.
    1. Select Security Administration > User Management > Role.
    2. Select ApplicationAdministrator_ST and open the Configurable Features tab.
    3. Click Edit Features and select Archive.
    4. Click Submit.
    Log out and log back in to enable the archive mode. When archive mode is enabled, an Archive Mode tag is displayed in the banner of the list.
  2. The user should run the Project Capitalization Upgrade process for the finance enterprise group if the system has capitalized projects.
    This process runs in the background copying GLTransactionDetail records related to Capital projects into AssetCapitalizationTransaction business class. It supports downstream processing in the Assets system independent of GLTransactionDetail allowing those records to be purged. It’s a one-time action and is required to be finished before setting purge cutoff date in the finance enterprise group.

    No new posted transactions are created during the upgrade. The upgrade may take several hours, so we recommend that you plan accordingly.

    1. Select Application Administration > Financials > Assets > Utilities.
    2. On the General panel, select Project Capitalization Upgrade.
    3. Specify a finance enterprise group and click Submit.

    When this upgrade process is complete, a message is available in your notifications.

  3. Specify the purge cut off date in the finance enterprise group record.

    The purge cutoff date is used in all subsystems to purge transaction data unless the programs have date range parameters when purge programs are run.

    Caution: Do not provide a purge cutoff date that is recent or the most recent records will be purged. The result is a duplicate key error when a new record is created because the sequence will restart from zero.
    1. Select Application Administration > Financials > Global Ledger > Setup.
    2. On the Maintenance panel, click Finance Enterprise Groups.
    3. Open a Finance Enterprise Group and click Action > Update Purge Cut Off Date.
    4. Specify the cut off date for the purge and click Submit.
    If the cut off date is less than three years, an alert message is displayed. Otherwise, no alert is displayed.
  4. Before purge programs can be run, verify that an archiving enabled tag is displayed on the Purge Cut Off Date field. This archiving enabled tag is displayed if the Enable Archiving field is selected on the finance enterprise group.
