Document versioning

Document versioning in IDM is the ability to store and manage multiple versions of the same document rather than creating separate files for each change.

When users access documents through the document link in FSM, the latest document version number is displayed.

When users access invoices in My IDM Jobs, users can view all records created for different jobs, providing access to the complete version history.

In IDM, users can access the document’s previous versions through the Document History sub-tab. Users can review all earlier versions, check modification dates, and restore or copy prior versions when necessary.

This list shows the supported output documents:

  • Billing invoice
  • Contract redline document

Billing invoice document versioning

Each billing invoice is represented by a single IDM document record. Whenever a new IDM billing invoice is generated, the system creates a new version of the associated IDM document.

Follow these steps to enable document versioning for the billing invoice document:

  1. Open an IDM-enabled billing company record.
  2. On the Document Templates tab, select the Billing Invoice check box in the Document Versioning section.

The IDM Billing Invoice output document is now enabled for document versioning.

These actions are responsible for generating the IDM Billing Invoice:

  • Generate Invoice: This action is available during Unreleased and Released states.
  • Invoice Register and Print: This batch program generates both Invoice Register and Billing Invoice IDM documents but only the Billing Invoice IDM document is enabled for document versioning.

Contract redline document versioning

Each contract record that uses Approvals With Redlining On Document as its approval type is represented by a single IDM contract redline document. Whenever the user updates the redline document, the system updates the document version of it.

Follow these steps to enable document versioning for the contract redline document:

  1. Open a contract classification or subclassification.
  2. Specify this information:
    Use IDM
    Select this check box.
    Approval Type
    Select Approvals With Redlining On Document.
  3. On the Classification Detail tab, select the Enable IDM Contract Redline Document Versioning check box.

After you save the classification, the IDM Contract Redline Document output document is enabled for document versioning.

Note: Contract Document and Addendum Document are not yet supported for document versioning.

These actions are responsible for updating the document version of Contract Redline Document:

  • FSM
    • Create Contract Document
    • Update Redline Document
  • IDM: Editing the Redline Document
