Budget edit errors and summaries

When a transaction distribution exceeds the available budget and budget editing is enabled, the system records a budget edit error. You can review these errors and their consolidated totals from the Budgeting area.
To view the errors, select Global Ledger > Budgeting > More > Reports. The Reports panel, contains these views:
  • The Budget Edit Error By Budget Group contains the totals rolled up by Budget Group and Period.
  • The Budget Edit Error By System Code contains the totals rolled up by Budget Group, Period, and System Code. For example, PO, AP, GL, RQ, and CB.
Note: The Budget Edit Error by Budget Group and Budget Edit Error by System Code views are also available in Report Catalog in Global Ledger > Budgeting for permitted roles including Budget Controllers, Budget Analyst and Financial Administrators. Select either Budget Edit Error by Budget Group or Budget Edit Error by System Code.

This table shows the summary rows and the amounts:

Column Description
Transaction Total of the real time transaction amounts that encountered a budget edit error for the group and period. The by-system view will also show the system code.
Existing Obligation Obligations that are already committed against the budget.
Budget The budget amount for the group and period.
Available Budget Budget minus Existing Obligation.
Over Budget The amount by which the transaction exceeds the Available Budget.

The summary rows also display the Scenario, Budget Template, finance structure, Period, and Edit Currency. Amounts update in real time. If a budget group requires recalculation, a yellow indicator is displayed. Run a recalculation or rebuild to refresh totals. See the Financials Setup and Administration Guide.

Expand a summary row to verify the associated budget edit errors and drill into an error to open the source document and distribution.

Transaction, line, and distribution lists include a Has Budget Edit Error column. A red Yes tag indicates an unresolved budget edit error, making it easy to filter and identify records that require attention. The column is available for transactions that support budget editing or encumbrance tracking, including Purchase Orders, Contracts, Payables, Requisitions, Cash Management, Budget Change Orders, Allocations, and General Ledger journals.
