Procurement card invoice and release
You run a process to release charges and create an invoice for each company on the bank statement file. A single invoice is created for each bank statement, using the expense handling code specified. If the file has bank charges for more than one company, then use Invoice And Release Procurement Card Statement to create one invoice for each company.
Expense invoices are created in a released status. A totals report is also created, listing these details including the dollar amount for each:
- Released charge detail lines
- Total number of released ad hoc and PO charges
- Total number of approved ad hoc and PO charges
- Total number of closed ad hoc and PO charges
Both ad hoc and PO-based charges can be released using Invoice And Release Procurement Card Statement. Invoice And Release Procurement Card Statement does not create invoices for PO-based charges.
Infor Process Automation users have an available service that notifies cardholders when charges are released and ready for approval.
See the Process Automation Services Reference Guide.
During Procurement Card setup, you must decided on these options:
- Charges are automatically approved if they are successfully invoiced by Invoice And Release Procurement Card Statement.
- Charges are automatically closed when approved.
If these options are not selected, then you must manually approve and close charges using Procurement Card Charge Approval.
If any bank charges are disputed, then pay them first and use Procurement Card Charge Approval to change the charge status to Disputed. You cannot dispute a charge that is already approved and you cannot alter charge detail after the charge is closed.
