Requesting employees for projects
Use this procedure to request an employee project assignment for a project using the approval process flow. The approver can update missing or incorrect details before approving.
- Sign in as Project Accountant, Project Administrator, or Project Manager.
- Select Project List and open a posting project.
- Select Actions > Request Employee For Project.

Specify this information:
- Priority
- Select whether the request has high, medium, or low priority.
- Needed By
- Specify the date by which the new project employee record is required.
- Action Comment
- Specify additional comments for the request. For example, the approver can provide the reason for the rejection or the return.
- Employment ID
- Select an employee for the project.
- Role
- Select a role for the project assignment. Roles are used to identify the responsibilities of an employee for the posting project.
- Begin Date
- Select the begin date for the employee assignment. If this field is blank, then the project begin date is used.
- End Date
- Select the end date for the employee assignment. If this field is blank, then the project end date is used.
- Committed Effort
- For Grant Accounting, specify the percentage of effort that is committed to this project for this employee. This value must remain constant through the life of the grant. This value is used as the default value for project assignment labor records in the Planned Effort field.
- Billable Rate
- Specify the billable rate of the employee for the project contract. This field is required for Project Invoicing and Revenue when the project contract has a billing method of Time and Materials. This rate is multiplied by hours to calculate the invoice amount for employee time.
- Labor Distribution Finance Structure
- Specify the finance structure for labor distribution. Changes to this field override the finance structure on the posting project or on the employee record. Only the dimensions that are different must be specified.
- Burden Code
- Specify the fringe burden code if it is different from the default value on the fringe burden code.
- Fringe Burden Finance Structure
- Provide changes to the finance structure for the fringe burden. Changes to the default value are overridden. Only the dimensions that are different must be specified.
- Subject
- Specify a subject for the comments or attachments.
- Comment
- Provide additional comments for the request.
- Comment Made By
- Specify the user ID to which to associate the comments.
- Date
- Specify the date on which the comments were created for the posting project.
- Document URL
- Specify changes to the finance structure for the fringe. If the process document is online, specify the URL to access the document.
- Attachment
- Browse to a file to attach. This can be any file stating why the change is being requested.
- Click Submit. The request is routed for approval.
