Requesting new posting projects

Use this procedure to request a new posting project. The approver can update missing or incorrect details before approving.

  1. Sign in as Project Accountant, Project Administrator, or Project Manager.
  2. Select Project List.
  3. Select Actions > Request New Posting Project.
  4. On the Request tab, specify the priority and the date by which the new posting project must be completed.
  5. Provide additional comments for the request. For example, the approver can provide the reason for the rejection.
  6. On the Main tab, specify this information:
    New Project
    Specify the project name. You cannot change the name after the project is saved.
    Project Status
    Select the project status for posting projects. The status code indicates which actions can be performed for posting projects.
    Currency
    Select the posting level project currency. For project invoicing, the posting project currency must match the parent contract currency. If this field is blank, then the default currency from the project structure is used when the posting project is saved.
    Begin Date, End Date
    Select the project begin and end dates. Projects are temporary records with begin and end dates. The summary project begin and end dates are the default values. The dates can be overridden but must be within the date range of the parent record. Begin and end dates on posting projects define the valid date ranges for journal entry records on subsystems.
    Billable
    For project invoicing, select this check box if the posting project is eligible for billing.
    Capital
    For assets, select this check box if the posting project is eligible for asset interface capitalization.
    Exclude From Front End Split
    Select this check box to exclude the posting project from front end split if front end split is enabled on the contract. This field is displayed only if front end split is enabled on the finance enterprise group.
    Expense Management
    Select this check box if the project is eligible for expense management interface.
    Default Finance Structure
    Select dimensions to apply to posting projects in subsystem transaction entry. The default dimensions are used in transactions and subsystem distributions when the project is added and other dimensions are blank.
    Pre-Award ID
    If a third party pre-award system is used, specify a grant identification number for tracking.
    Program Income
    If program income is selected on the project contract, then select this check box if the posting project has program income.
    Program Income Type
    If the program income for the posting project is different than the program income on the project contract, select the program income type. If this field is blank, then the program income on the project contract is used.
    Watch
    Select this check box to designate projects to watch. If this check box is selected for a project, then it can be viewed and filtered in lists and reports. The reports can also be viewed in the Infor d/EPM Platform App Studio Project Watch report.
    Watched By
    Select an employee. Use this field to assign an employee as a watcher for the project. Reports and home pages that contain the Watch field can be filtered by the watcher to include only their watched projects If Watch is selected and Watched By is blank, then all reports are included.
  7. On the Billing Overrides tab, specify this information:
    Billing Method
    Select a billing method to override the billing parameter for posting projects. This is used to override the billing method that is specified on the project contract.
    Markup Percent
    If the Billing Method is Cost Plus, Time And Materials, or Rate Table, then specify the markup percentage to use for billing.
    Billing Rate Table
    If the Billing Method is Rate Table, then select the rate table to use for billing.
    Billing Maximum
    If there is a limit to what can be invoiced for the posting project, specify the amount.
    Tax Exempt
    Select this check box to override the tax exempt status for billable projects. This is used to override the tax status that is specified on the project contract.
    Fees Exempt
    Select this check box if the posting project is not subject to project contract fees.
    Revenue Structure Option
    Select whether the revenue structure is a full or partial finance code block for the project funding source. If the Full Structure option is selected, then the Full Revenue Finance Structure field is available. If the Partial Structure option is selected, then the Partial Revenue Finance Structure field is available. If you select the partial structure, then you can specify any dimension of the finance code block when specifying a revenue account. If dimensions are blank, then the value from the originating expense is used.
    Partial Revenue Finance Structure
    Specify the dimensions to override for revenue for the project funding source. If dimensions are blank, then the value from the originating expense is used. The list is sorted by revenue accounts because the account is generally a revenue account. If another account type is required, then any account can be specified.
    Full Revenue Finance Structure
    Specify the full revenue finance structure for the project funding source. The list is sorted by revenue accounts because the account is generally a revenue account. If another account type is required, then any account can be specified.
  8. On the Labor Distribution tab, specify this information:
    Labor Distribution Finance Structure
    Specify the finance structure for the labor distribution account. This value overrides the finance structure labor for the project.
    Fringe Burden
    If you use labor distribution, select whether fringe benefit burden is created when running the Distribution Labor action.

    If burden codes are not permitted for the project, then select No. If burden codes are permitted, then select whether the default burden code is from the employee or project.

    Fringe Burden Code
    If you use labor distribution, you can assign a burden code to the project. Fringe benefit burdens are created when the Distribute Labor action is run with the labor distribution transactions. A burden code for the fringe benefit can be assigned to the project employee or to the project.
    Fringe Burden Finance Structure
    If you use fringe benefit burdens for labor distribution, then specify the finance structure to post the fringe benefit. This value is used to override the original finance structure for the employee home account where employee project salary and wages are posted.
    Certification Required
    Select this check box if certification is required for the project for grant accounting.
  9. On the Salary Cap tab, specify this information:
    Salary Cap
    If the project is subject to a salary cap for labor distribution, then select the salary cap code.
    Salary Cap Date
    Specify whether the salary cap date is for the start of the project or the end of the labor period. This field is required only if the project is subject to a salary cap.
    Salary Cap Overage Finance Structure
    Specify where the overage for labor distributions that are above the salary cap are posted. If this field is blank, then the overage remains in the employee’s home account. If a specific field of the finance structure is different for the overage, then only the field that is different must be specified. For example, an overage is posted to the same accounting entity and accounting unit, but to a different account. Specify the account field. If you specify only an account, then the account on the original salary and wages account is replaced. The account is not posted to a project.
  10. Optionally, on the Comments tab, attach comments and documents to the posting project.
    The comments and attached documents remain on the project after it is created. If the process document is online, specify the URL to access the document.
  11. Click Submit. The request is routed for approval.
