Invoice messaging setup

You must set up these items before you can use invoice messaging:

Set up Buyers

Specify an email address to receive invoice messages.

Set up Authority Codes

Set up authority codes and assign buyers to them. Specify an email address to receive invoice messages. The buyer code is used if an authority code is not set up.

Set up Match Rules

Sign in as Payables Manager and select Payables > Payables Setup > Match Setup > Match Rules.

Invoice messages are created by detail level matches.

You must set up Tolerances for the type of invoice messages that will be used. If there are no tolerances set up, then the invoice message is created for all discrepancies. For example, if the PO is $100 and the invoice is $101 and there is no tolerance set up, the message is created. If there is a $1 tolerance, then the message is not created. Tolerances must be set up for each message type.

Determine the type of invoice messaging to use

Sign in as Payables Manager and select Payables > Payables Setup > Match Setup > Match Companies. Open a company and select the Messaging tab for the company.

There are several types of messages listed:

  • Purchase Order Review
  • Service Item Review
  • Reconciliation Match
  • Additional Work Flow Options

Assign Match Rule to Messaging Types

On the Messaging tab, assign the appropriate rule group to the messaging types you will use on Match Company.
