Project contract modifications

Two options are available for contract modifications: Project Contract and Project Funding Source Change Request, and Contract Modifications Wizard.

Project Contract and Project Funding Source Change Request

These are requests to change the project contract amount or a single funding source. The request is subject to IPA approval flow for approval or rejection. This list shows the change request features:

  • Change request functionality is only available if it is enabled on the project structure.
  • Change for a project contract is separate from a change request for the project funding source.
  • The change request for the funding source is performed individually.
  • The project contract amount is not automatically updated when the funding source change exceeds the current contract amount.
  • The user who requests the change cannot approve the change. Statuses are Submit For Approval, Rejected, and Approved.
  • IPA approval process is required in the Inbasket.
  • If Project Contract Change Request is enabled, you cannot use the Contract Modifications Wizard.

Contract Modifications Wizard

The wizard helps automate the modification of the contract. No approval process is required. This list shows the modification wizard features:

  • Project Administrator, Project Accountant, and Project Manager roles have access to the change wizard action.
  • Multiple funding sources can be changed and funding sources can be added in a single modification.
  • Project contract amounts and Finance Dimension 2 amounts can be updated automatically.
  • Descriptions, comments, and attachments can be modified.
  • History is maintained and modeled after a budget change request.
  • The user who modifies the contract can release the modification. No approval process is required.
  • Error alerts and messages are displayed when errors occur when a contract modification is released.
  • Record statuses are entered and released.
  • The Contract Modifications Wizard is only available if Project Contract Change Request Approval is disabled.
