Calculating allocations

  1. Select and open an allocation control.
  2. Select Run AllocationTrueCost Allocation Controls.
  3. On the Run Allocation tab of the Run Allocation Wizard, specify this information:"
    Run Name
    Specify a name for the allocation run. This is helpful to identify different costing scenarios, especially for multiple runs for the same period. This value must be unique for the period and allocation type specified by the Use Ledgers field, actual volume or capacity.
    Run Description
    TrueCostSpecify a description for the allocation run.
    Allocation
    Select an allocation to calculate a single allocation in the allocation control. To calculate all allocations in the allocation control, leave this field and the Group field blank.
    Allocation Group
    Select an allocation group to process a specific group of allocations in the allocation control. To calculate all allocations in the allocation control, leave this field and the Allocation field blank.
    Multi-Month Allocation
    Select to calculate allocations for more than one period.
    Allocation Post Date
    For single month allocations, select the date to identify the period in which to process allocations. The allocation run calculates allocations for all driver events with an event date within the corresponding period. For example, if the allocation control calendar has type of monthly, and the allocation post date is March 15, the corresponding period is March. The allocation run calculates balances for allocation lines for all driver events with an event date in the period of March. This field appears if the Multi Month Allocations check box is not selected.
    From Allocation Post Date, To Allocation Post Date
    For multi month allocations, specify the from and to dates to identify the periods in which to process allocations. The allocation run calculates allocations for all driver events with an event date within the corresponding periods. For example, if the allocation control calendar has type of monthly, the from allocation post date is March 15, and the to allocation post date is April 15, the corresponding periods are March and April. The allocation run calculates balances for allocation lines for all driver events with an event date in the periods of March and April. An allocation run record is created for each period. These fields display if the Multi Month Allocations check box is selected.
    Note: These fields do not specify a range in which to process allocations, instead they define the periods in which to process allocations. For example, a from allocation post date of March 15 and a to allocation post date of April 15 does not calculate allocations only for driver events with an event date in that range. Instead, allocations are calculated for driver events with an event date that is in the periods in which those from and to allocation post date values exist.
    From Step, To step
    Specify a step range to calculate allocations within that range.
    Use Ledgers
    Select the check box of each ledger to which you want to post allocation balances. Calculations based on actual volume are posted to the utilization ledger. Capacity calculations are posted to the capacity ledger. The labels of these check boxes are defined by the ledgers specified in the allocation control. See Creating allocation controls. An allocation run record with the specified run name is created for each selected ledger.
    Source Balance Options
    Select to use a new expense snapshot or an existing expense snapshot.
  4. Click Next.
  5. On the Expense Snapshot Details tab, the allocation period and corresponding expense snapshot name to be used for that period are listed. If New Expense Snapshot is selected from the Source Balance Options, a default expense snapshot name is displayed on the Expense Snapshot Details list. The default name can be changed. If Existing Expense Snapshot is selected from the Source Balance Options, select an existing name of an expense snapshot to be used for the associated allocation period.
  6. Click Next.
  7. The Summary tab shows the parameters you have selected.
  8. Click Calculate to run the allocation.
  9. Click Finish to return to the TrueCost Allocation Controls.
  10. Click the Runs tab to monitor the status of the allocation run.
  11. Open the allocation run to view details of the allocation lines. If your allocation run includes both the utilization and capacity ledgers, there are two records on the Runs tab, one for each ledger. On the Parameters tab of the allocation run, the Is Capacity check box is selected for capacity runs.
  12. To view and download a report of the allocation run details, select the allocation run and select Drill Around® > Calculation Report.
    To view and download a report containing details of the allocations, select the allocation run and select Drill Around® > Listing Report.
