Purging historical transactions

Use this procedure to periodically purge historical transactions based on your data policies.
  1. Select Transaction Purge.
  2. Select Company or Company Group, but not both.
  3. Specify this information:
    Archive Records
    Select whether to copy records to disk before they are deleted.
    Transaction Batch Records
    Select whether to include transaction batch records in the transaction purge. To delete records, transaction batch records must be released and all associated transactions must be included in the transaction purge or previously deleted.
  4. In the Transactions section, specify one or more of this information:
    Payments- Post Cutoff Date
    To delete payments, select a Global Ledger cutoff date. Payments with a Global Ledger date on or before the selected date are included in the transaction purge.
    Transactions- Post Cutoff Date
    To delete invoices, debit memos, and credit memos, select a Global Ledger cutoff date. Invoices, debit memos, and credit memos with a Global Ledger date on or before the selected date are included in the transaction purge.
    Distributions- Post Cutoff Date
    To delete transaction distributions, type a Global Ledger cutoff date. Transaction distributions with a Global Ledger date on or before the selected date are included in the transaction purge.
    Payment Notice Work Records- Cutoff Date
    To delete payment notice work records, which are printed when running Payment Request Notice Print, select a Global Ledger cutoff date. Payment notice work records with a Global Ledger date that is on or before the selected date are included in the transaction purge.
    Customer/Order Comments- Cutoff Date
    To delete customer and order comments, select an activity end cutoff date. Comments with an activity ending date on or before the selected date are included in the transaction purge.
    Transaction Comments- Cutoff Date
    To delete transaction type comments, select an activity end cutoff date. Comments with an activity ending date on or before the selected date are included in the transaction purge.
  5. In the Customers section, specify this information:
    Customer
    Select a customer purge transaction for a single or multiple customer and specify its description.
    Major Class
    Select a major class to identify customers to purge transactions.
    Minor Class
    Select a minor class to identify customers to purge transactions.
    Credit Analyst
    Select a credit analyst to define customers to purge transactions.
    Sales Representative
    Select a sales representative to define customers to purge transactions.
  6. In the Report Distribution section, select a distribution list and an export type for Transaction Purge Report.
  7. Click Submit.
