Removing transactions

You can write off transactions on a regular basis. If you select the Automatic Transaction Removal field in Company Customer, then the transactions for these company customers are subject to be automatically removed.

  1. Select Automatic Transaction Removal.
  2. Specify this information:
    Company
    Select a company number.
    Open Item Reason Code
    Select an open item reason code to remove transactions that are assigned that reason code. This code is required if you specify a Transaction Type of Invoice, Credit,Debit, or All on the Transaction tab.
    Operator
    Specify the name of the operator of the transaction.
    Payment Reason Code
    Select a payment reason code to remove payments that are assigned that reason code. This code is required if you select a Transaction Type of Payment or All on the Transaction tab.
    Sort Order
    Select the order in which the report is sorted. You can sort by Customer, DPD, or Amount.
    Removal Post Date
    Specify the Global Ledger date for the application adjustment records. If this field is blank, then the system date is the default.
    Update Option
    Select whether to run the process in update.
  3. In the Customer section, specify this information:
    Customer
    Select the beginning and ending customer numbers for the range. If the ending customer number is blank, then the beginning customer number is the default.
    Balance
    Specify the beginning and ending balances for the range. If you specify a balance range, then you must specify both payment and open item reason codes. If the ending balance is blank, then the beginning balance is the default.
    Risk Code
    Specify the beginning and ending risk codes for the range. If the ending risk code is blank, then the beginning risk code is the default.
    Major Class
    Select a beginning and ending major class to create statements for customers only assigned in a specific major classes in Customer. If the ending major class is blank, then the beginning major class is the default.
    Minor Class
    Select a beginning and ending minor class to create statements for customers only assigned in a specific minor classes in Customer. If the ending minor class is blank, then the beginning minor class is the default.
    Analyst
    Select a beginning and ending credit analyst for the range. If the ending analyst is blank, then the beginning analyst is the default.
    Sales Representative
    Select a beginning and ending sales representative for the range. If the ending sales representative is blank, then the beginning sales representative is the default.
    Payment Terms
    Select a beginning and ending payment terms for the range. If the ending payment terms is blank, then the beginning payment terms is the default.
  4. In the Transaction section, specify this information:
    Days Past Due
    Select a beginning and ending number of days past due. If the ending number of days past due is blank, then the beginning number of days past due is the default.
    Due Date
    Select a beginning and ending due date for the range. If the ending due date is blank, then the beginning due date is the default.
    Amount
    Specify the beginning and ending amount for the transaction range. If the ending amount is blank, then the beginning amount is the default.
    Transaction Type
    Select a maximum of four transaction types for removal. If these fields are blank, then all transaction types are selected for removal.
    Debit Type
    Select a maximum of four debit types for the transactions for removal. If you select a debit memo type from this field, then you must select All or Debit Memo on the Transaction Type field.
    Exempt Disputes
    Select Yes to exempt the disputed transactions from the removal process.
  5. In the Transaction Codes section, specify this information:
    Currency
    Select a beginning and ending currency code for the range. If the currency code is blank, then the transactions for all currencies are removed. All amounts that are specified are considered base amounts.
    If you specify a currency code, then all amounts are considered transaction amounts.
    Process Level
    Select the beginning and ending process level for the transaction range. If the ending process level is blank, then the beginning process level is the default.
    Payment Terms
    Select the beginning and ending payment terms code for the transaction range. If the ending terms code is blank, then the beginning terms code is the default.
    Sales Representative
    Select a beginning and ending sales representative for the range. If the ending sales representative is blank, then the beginning sales representative is the default.
    Project
    Select a beginning and ending project for the range. If the ending project is blank, then the beginning project is the default.
  6. In the Report Distribution section, select a distribution list and an export type for Automatic Transaction Removal Report.
  7. Click Submit.
