Budgets

Budget edits

The posting date affects the edit date. For example, if you are back-posting in December, the transactions for the following year are not considered in the budget edit total obligations.

Creating a project budget template or budget edit

Project budget templates can be created using a date range of life to date of the budget. LTD is only a budget selection for projects. Most project dates cross fiscal years, but the budget is associated to the life of the project or the project timeline. Creating budgets and budget edits with a date range of LTD provide the project manager or user with an accurate portrayal of the project. The budget or budget edit show the remaining budget from project inception, independent of the fiscal year.

The main budget scenario does not contain data. The main budget scenario is a sum of all of the child scenarios. When a base scenario is created, a child, or original scenario is created. Because the child record is created after the parent record, its number is incremented to the next available number. All original data and incremental data is in the original child scenario. Each change request will create a new child scenario.

Calculation for budget edit total obligation

Obligations are read by budget edits from the cube at activation:

After activation, a copy in BudgetGroupTotal is used and updated on successful edits. The GeneralLedgerTotal amount is not used. Budget amounts are read and determined from the cube.

If BudgetGroupTotal amounts are not correct, then deactivate and activate all templates. The GLTOT cube is refreshed from GeneralLedgerTotal and BudgetGroupTotal data is populated from the GLTOT cube.

Budget alerts

When budget edit or budget templates are used, pending records are created when changes are made to these project dimension fields: Budget ID and Include In Budget Edit. The records are created in the BudgetTemplateRemove and BudgetTemplatePending business classes for templates in budget scenarios in a ready state. To update the budget group for these pending changes, run the Process Pending Remove or Process Pending actions. If these projects have pending changes, they may not be included in the budget edit. An alert is displayed in a project if records exist in BudgetTemplatePending, BudgetTemplateRemove, BudgetTemplateRecalculate, or BudgetTemplateManual business classes. The alert denotes that pending actions or updates are required for the project so that budget templates are updated and current.

When changes are made to the template, budget templates must be kept in sync.

Use these steps to process changes for pending dimension or dimension hierarchy:

  • Add, move, or delete an element or member of a tracked or edited summary
  • Add a new posting by setting the edit flag or adding the posting manually
  • Remove a posting element by clearing the flag or removing the element manually
