Creating change requests for a project funding source

  1. Sign in as Project Accountant, Project Administrator, or Project Manager.
  2. Select Project Contracts.
  3. On the Contracts tab, open a contract.
  4. Select the Project Funding tab and open a project funding source.
  5. Select Actions > Create Project Funding Source Change Request.
  6. Specify this information:
    Change Request Date
    Specify the date of the change request.
    Description
    Provide a description.
    New Priority
    Select the new funding priority order. Funding is processed in order of priority. Funding sources can be added any time. Priority order can change any time and become the new priority. Do not duplicate priority numbers.
    New Funding Group
    Specify the new funding group for the funding source. The federal grant and the associated match funding sources have the same funding group. When the generate invoices action is run, the first set of funding sources with the same funding group are processed, then the next funding group. Processing is based on priority order, percentage, funded amount, and funding group. The match funds must be next in priority to be processed and calculated correctly.
    New Percent
    Specify the new percent. If a project is funded by a single funding source, then specify 100.
    New Funded Amount
    Specify the new funded amount.
    Project Contract Change Request
    Optionally, select a change request for a project contract that is related to this change request.
    Comment
    Provide comments for the request.
    Document URL
    If the process document is online, specify the URL.
    Title
    The default value is the name of the file. You can provide another title for the document.
    File
    Attach a file. It can be any file that shows why the change is requested.
    Mime Type
    The type of the file that is attached is the default value.
  7. Click Submit.

    The Project Contract Change Requests tab is available on the project contract. All change requests are displayed on this tab. Use the search parameter to find change requests.

  8. To release the change request, select the record and select Actions > Release.
