Creating change requests on budget scenarios

Use this procedure to create a new change request on a budget scenario.

  1. Select Budgeting > Budget Scenarios.
  2. Open a budget scenario.
  3. On the Change Requests tab, click Create.
  4. Specify this information:
    Description
    Specify a description for the change request.
    Currency
    Select a currency to use for the change request amount.
    Default Period
    Select a month period to use as the default value for the change request line.
  5. Click Save.
  6. On the Lines tab, click Create.
  7. Specify this information:
    Line
    Optionally, specify the number for the change request line.
    Period
    Specify the budget period for which to add or update a budget. If this field is blank, then the value in the Default Period field is used.
    Budget Dimensions
    Select the budget posting dimensions for which to add or update a budget.
    Amount
    Specify the change request amount. Specify a positive amount to increase or add a budget. Specify a negative amount to decrease a budget.

    If Balanced Amount Changes is selected in the scenario, then any changes to the amounts must be balanced between two or more budget lines. The change request cannot be released until the amounts are balanced.

    Units Amount
    Specify the budget changes for the units.

    If Balanced Unit Changes is selected in the scenario, then any changes to the units must be balanced between two or more budget lines. The change request cannot be released until the units are balanced.

  8. Determine the available budget amount and unit amount that are available for the change request.
  9. Click Save.

    When you save a change request line, several new fields are available. These fields are available only when the status of the change request is Pending Approval or Unreleased:

    Current Remaining Budget
    This field shows the remaining budget for the selected change request. If the accounting string budget is in another currency, or no budget exists, then this field is zero. Only budgets and obligations that are in the change request currency are considered for the total remaining budget.
    Pending Remaining Budget
    This field shows the remaining budget after the change request amount is applied. This field must be greater than or equal to zero.
    Current Remaining Units Amount
    This field shows the total number of remaining units for the accounting string.
    Pending Remaining Units Amount
    This field shows the number of units that are remaining after the change request units are applied. This value must be greater than or equal to zero.
  10. To add comments or attachments to the change request, click the Comments link.
  11. Optionally, add additional change request lines.
  12. Select Actions > Release.
    If approval is enabled for the budget scenario, then the change request status is Pending Approval. When the approval is complete, the status is Released.

    If approval is not enabled, then the change request is automatically released and the status is Released. After the approval is released, the corresponding budget line is added.

    If there are active templates, then budgets are edited by change requests.

  13. To view the added budget line, open the scenario and select the Data tab.
  14. To view the change request record, select the Change Requests tab.
  15. To view all of the change request lines that are released, select the Change Detail History tab.
  16. To add comments or attachments to the released change request lines, click the Comments link.
