Activating budget templates

When this action is run, the template is transitioned to a Ready status. A template in the Ready status is active for budget edits.

The activation process generates budget groups. The budget groups that are represented by a template are constructed by the cross product of all applicable template dimensions. A budget group is created based on template dimension setup and the level of edit for each dimension.

  1. Select Budgeting > Budget Scenarios.
  2. Open a scenario and click the Edit Templates tab.
  3. Open a template.
  4. Select Actions > Activate.
  5. Specify this information:
    Data Is Sparse
    Select this check box if you expect a large number of budget groups to be created for the template. No obligations data should exist yet for the majority of the budget groups.
    Account Jobs Per Entity
    Specify the number of parallel account jobs that are initiated for each entity in the basis. The processing of accounts are split among the number of parallel jobs that are specified. If the template does not have an entity, this field specifies the number of jobs.

    For example, when five jobs are specified and there are 100 accounts, 5 jobs are initiated in parallel, processing 20 accounts for each job. If there are two entities, then 10 jobs are initiated in parallel, processing 20 accounts for each job.

    Sparse Jobs
    Specify the number of parallel jobs for sparse processing. The Data Is Sparse check box must be selected to populate this field.
  6. Click OK.
  7. To monitor the status of the activation, click the Edit Templates tab. If the activation is successful, the status is set to Ready. If the activation fails, the template remains in Processing status.
  8. To check for the generated budget groups after processing is complete and the template status is set to Active, access the Groups tab.
    Select Budgeting > Budget Templates > or open the budget scenario and select the Edit Templates tab.
  9. Open the template and click the Groups tab.

    The budget groups represent the edited accounting string. If the Edit Blank Posting Elements check box is selected, the template generates budget groups that include blank elements for non-required dimensions.

  10. Open a budget group to view the details.

    For each budget group, obligation totals in edit (template) currency are displayed for each edited calendar period. Obligation totals for each budget group are maintained across subsequent transactions.

    If a warning message is displayed, then after the template is activated, remove the undistributed retained earnings account from the chart.
