Setting up IDM email templates

  1. Download sample IDM email templates, fact sheet, and XML files.
    1. Select Supply Management Administrator > Purchasing > Sample Purchasing Document Templates > Purchase Order.
      Note: Purchase Order is only used as an example. You can choose from other available email templates.
    2. Attachment links are provided to download the sample email template, fact sheet documents, and XML file.
    3. The field mapping information and XML file are used by both IDM template and IDM email template.
  2. Create IDM email templates.
    1. You can use the sample email template as a baseline to create your own IDM email template. See Output management add-in.
    2. IDM email templates must be saved as .docx format.
    3. For the list of fields that you can add to your email template, see Field mapping information.
  3. Upload the customized IDM email templates.
    1. Select Supply Management Administrator > Purchasing > Purchasing Documents IDM Templates > Purchase Order IDM Email Template.
    2. Click Create and select the IDM email template to use. You can attach the downloaded sample email template or your own email template.
    3. When successfully uploaded, you can assign the email template as the default for the output document.
  4. Set up and assign IDM email templates as the default for the output document.
    1. Select Supply Management Administrator > Groups and Companies > Purchasing Companies.
    2. Open a purchasing company record.
    3. On the Document Template tab, specify this information:
      Purchase Order IDM Email Template
      Select the IDM email template that overrides the default email content. This option is available when Use IDM Template is selected.
      From
      Specify the email address to use as the sender of the email.
      Subject
      Specify the email subject. See Editing email subjects on how to use variables.
    4. Select the IDM email template as the default for the output document. The template is also saved in IDM.
