Setting up email for external entities

Users with the external entity administrator role can configure outgoing email. Configurable elements include the logo, originating email address, and subject.

The logo is displayed in these types of emails:

  • Forgotten password initiated by the customer representative
  • Self-registration verification code
  • Locked account after unsuccessful attempts

Requirements for the image file:

  • File types: PNG, JPG, JPEG
  • Maximum file size: 2MB

The default for the Subject field can be set up for each type of email.

  1. Create a custom email template for each type of email.
  2. Select the template for each type of email, for example, an email template for locked accounts.
  3. Sign in as an external entity administrator.
  4. Click the profile icon and select External Entity Management.
  5. On the external entity pane for billing and receivables, select the pencil icon and click Settings.
  6. Click Change Logo and select the image file of the logo.
  7. Specify this information:
    From Email Address
    This address is used for outgoing emails that are from the external entity and to the customer representatives.
    Registration Email Template
    Specify a template.
    Confirmation Email Template
    Specify a template.
    Self-Registration Verification Email Template
    Specify the template that is used for emails that are sent when an customer representative's self-registration is verified.
    Account Locked Email Template
    Specify the template that is used for emails that are sent to customer representative contacts if they are locked out.
