Importing multiple users and roles

Use this procedure to import multiple user record, or update existing user records. You can include roles to the new or updated user records.

  1. Prepare a spreadsheet or XML file that includes each user record with a header row to label the variables.
    You can import any user information needed, but these variables are required:
    • FirstName
    • LastName
    • EmailId
    • ActorID: This is the Landmark Actor ID.
    Additionally, these optional variables are common:
    • Title
    • Status: Either Draft or Active. If you import user records in draft status, you must manually activate them after import.
    • SecurityRoleXX. For example, SecurityRole1, SecurityRole2. If you are using CSV file format, roles that do not exist in the system are ignored. You can use XML file format to create new security roles from the imported file.
    Note: The UserName value for a user record is automatically created during import.
    Caution: 
    If the CSV file contains special characters, the file must be in CSV (UTF-8) format.
  2. Sign into Infor Ming.le with a user that has administrator access and from the User Menu select User Management.
  3. On the upper-left corner of the Users page next to the Add icon, click the Import icon.
  4. In the Import Users dialog, select the import file in the Select File field.
    Note: The Import Users dialog displays an example of header row names to use in the spreadsheet.
  5. Specify this information, and then click Import:
    Send Invitation
    If you specified a Landmark Actor ID in the spreadsheet for import, select this check box to send an invitation to each user after import.
    Update existing users
    Select this check box to update existing user records with information from the imported spreadsheet. For example, to update security roles for users.
    Activate deleted users
    Select this check box to activate existing user records that are deleted with updated record information from the imported spreadsheet.
    Disable users that are not present in the import
    This check box becomes active when you select Update existing users. Select this check box to disable existing user records that are not present in the imported spreadsheet.
    Complete Replacement of Security Roles
    This check box becomes active when you select Update existing users. Select this check box to replace existing security roles with those from the imported spreadsheet instead of adding the specified roles to the existing roles.
  6. If you did not specify a status for the imported users, or you specified a status of Draft, activate the new users. Go to the Users list, select the new user records, and select Action > Activate Draft User.
  7. If you did not select the Send Invitation check box during import, send an invitation manually to the new users. On the Users list, select the new user records, and then select Action > Send Invitation.
