Creating events from a wizard

  1. Sign in as Sourcing Manager and select Create Events > Create From Wizard.
  2. Specify this information:
    Company
    Select a company.
    Name and Description
    Specify a name and description for the event.
    Reference
    Provide a reference for the event.
    Type
    Select an event type
    Buyer
    Select a buyer.
    Currency Code
    Select a currency code.
    Allow Responses in a Different Currency
    Select this check box to allow a supplier to respond to the event using a different currency than the one in which it was created.
    Category
    Select a category.
    Subcategory
    Select a subcategory.
    Supplier Portal Posting Options
    Select a display option:
    • Display On Portal

      The event can be viewed on the Open Bids list by each registered and unregistered supplier.

    • Display For Notified Suppliers Only

      The event can be viewed on the Open Bids list by suppliers listed on the Notifications tab.

    • Do Not Display On Portal

      The suppliers that are listed on the Notifications tab receive an email that instructs them to contact your organization.

    Display Plan Holder List
    Select this check box to show plan holders.
    Create Amendments
    Select this check box to create an amendment.
    Send Amendment Notifications Only to Responding Suppliers
    Select this check box to trigger notifications to suppliers when the event has been amended.
    Allow Supplier Q & A
    Select this check box if suppliers can post and review questions. If you select this check box and dates are required on the event, then you must define a Q and A open and close date. For events that do not require a date, the supplier can ask questions while the event is in the Open state.
    Estimated Total
    Specify a number to represent the estimated total.
    Dates Not Required On Event
    Before you can release an event, you must provide values in either the dates, or the dates not required fields.
    Preview
    Select a date and time that the event preview period begins.
    Close
    Select a date and time that the event bidding process closes and supplier responses are no longer accepted.
    Open
    Select a date and time that the event bidding process opens and suppliers can respond through Supplier Portal.

    Do not select an open date until you are ready to release the event. You cannot release or approve the event if the open date has passed.

    Dispute Close
    If a supplier is allowed to negotiate the terms of an event, select a close date for the dispute period.
    Sealed Bid
    Select this check box if this is a sealed bid event.
    Two Step Bidding
    If the Technical Proposal Submitted Separately From Pricing Amounts option is selected, then the Line Responses step for event response is not displayed and does not have to be performed yet. If the Technical Proposal and Pricing Amounts Submitted At The Same Time option is selected, then both the Technical Proposal documentation and bid amounts are submitted simultaneously.
    Require Bid Bond
    Select this check box if a bid bond is required for this event. When working with suppliers for events with large dollar amounts, it is common to require that the supplier provide a bid bond with their response. The bid bond is a form of insurance that shows that the supplier can perform the work. This field can be selected or cleared until a supplier creates a response.
    Bid Bond Percent
    This field is displayed when you select the require bid bond check box. Specify a value that indicates the percentage of the total bid that must be supplied to the bond insurer by the supplier. This value must match the percentage on the electronic bid bond.
    Best And Final Offer
    Select this check box to define this event as a best and final offer event.
    Require Response For All Lines
    Select this check box if suppliers are required to bid on all event lines.
    Require Full Quantity On Lines
    Select this check box if a supplier must specify the full line quantity when responding to an event.
    Display Lowest Bid Amount To Supplier
    Select this check box to show the current lowest bid amount on the Supplier Portal. This field must be selected if the Lowest Bid Option is set. This field is not allowed on sealed bid events.

    You can select this check box without the Lowest Bid Option if you only want suppliers to see the lowest bids, but not be required to specify the low bid.

    Lowest Bid Option
    Use this field if an event line should be a reverse auction, where each supplier must specify a price that is less than or equal to the lowest price that is currently submitted. This field is not allowed on sealed bid events.
    Allow Add On Charge
    Select this check box if add on charges are allowed.
    Allow Terms To Be Negotiated
    Select this check box if suppliers can negotiate terms.
    Allow Alternate Responses
    Select this check box if suppliers can provide a different item or service than the one indicated on the original event line.
    Vendor Item Processing
    Select a method for vendor item processing:
    • Require Vendor Item Before Output Is Created
    • Supplier Must Enter Vendor Item For Contract
    • Supplier Must Enter Vendor Item For All Output
    • Default Vendor Item From Item
    Require Supplier To Enter Delivery Date When Responding To Lines With PO Output
    Select this check box if the supplier is required to select a delivery date when responding to lines with PO output.
    Output Type
    If output type is PO or a contract, then include ship to, distributions, and requested delivery date.
    Requested Delivery Date
    For event lines with a PO output type, you must select a requested delivery date.
    Ship To
    Select a ship to location.
    Default Account
    Specify the default account information.
    Asset
    Select a default asset.
    Asset Template
    Select a default asset template.
    Yellow Alert
    Specify the number of days before the event closes to issue a first email alert.
    Red Alert
    Specify the number of days before the even closes to issue a second email alert.
  3. Click Next.
  4. Add details to the event.
    You can put as much information into an event as you want. Not all fields are required.
