Processing PO charges

  1. Select Manage Purchase Orders to create and release the purchase order.
    The purchase order is set up as a procurement card PO and assigned a procurement card number. Alternatively, the procurement card number from vendor setup can be used.
  2. Select Manage Receiving > Receiving to create and release the receiver.
  3. Receive the invoice from the vendor.
    The invoice can be received in any format. Examples are paper, EDI, or ERS.
  4. To create the payables invoice, select Manage Invoices > Create Invoice, and select the Invoice Entry Template of Basic Invoice
  5. Match the payables invoice and the receipt in Match.
  6. If you import PO-based charges from your bank, then these additional steps are required:
    1. Import bank charges by running Procurement Card Charge Import . PO-based charges must have a purchase order number assigned to them.
    2. Release the charges and create an invoice by running Invoice And Release Procurement Card Statement. PO-based charges are not included in the invoice that is created by running Invoice And Release Procurement Card Statement. When an invoice is released, you can use Drill Around to view procurement card transaction detail from Distribution Adjustments. The details about the charge amounts including who made the charge, where, and when the charge occurred. After the invoice is posted by Invoice Distribution Closing, you can drill back from Transaction Analysis to view the details and associated distributions.
    3. Approve and close the charges by running Procurement Card Charge Approval .
