Reconcilation match messages

Reconciliation match messages are created when you select Match and the invoice and Purchase Order/receipt do not match within the defined tolerances. These are the possible actions that you can take on a reconciliation Message:

  1. Sign in as Match Specialist and select Manage Invoices. Open an invoice and select the Message tab.
  2. In the Action field, specify this information:
    • Select Approve to approve the message and put it in a status so that it can be paid. The differences between the invoice and the PO/receipt go to an invoice tolerance account.
    • Select Disapprove start the process over. Someone must take action on the message before it can be paid.
    • Select Create a Chargeback to create a credit invoice for the difference between the Invoice and PO/Receipt cost or quantity.

      For example, if the Invoice is $120 and the PO was $100:

      • the original invoice is for $120
      • the chargeback is a separate invoice for -$20

      The chargeback has the same invoice number with a prefix so that they are associated with each other for reporting.

    • Select Forward to forward the message to another person. Specify the Forward To Authority Code and Forward To Buyer fields to send the message to someone else to take action. This action does not close the message and the invoice cannot be paid with this action.
