Creating budget templates

  1. Select Budgeting > Budget Scenarios.
  2. Open a scenario.
  3. On the Edit Templates tab, click Create.
  4. Specify this information:
    Budget Template
    Specify a name for the template.
    Description
    Specify a description for the template.
    Edit Currency
    Select the edit currency report for the template.
  5. On the Main tab, specify this information:
    Calendar
    The default value of the template calendar is the budget basis calendar. The calendar determines the period that is edited by the template.
    Budget Edit Period Type
    Select whether the template edit period is Month, Quarter, or Year. This field defines how the template budget group total obligations are tracked.
    Budget Edit Date Range
    Select whether the edit is performed at the Period, Year To Date, or Life To Date level.
    • Period: The month, quarter or year based on the Budget Edit Period Type selected is edited by the template.
    • Year To Date: All periods up to the current period in the year are edited by the template. This option does not apply when Year is selected for Budget Edit Period Type.
      • If Month is selected for Budget Edit Period Type, then all months up to the current month in the year are edited by the template.
      • If Quarter is selected for Budget Edit Period Type, then all quarters up to the current quarter in the year are edited by the template.
    • Life To Date: All periods up to the current period in the calendar are edited by the template.
      • If Month is selected for Budget Edit Period Type, then all months up to the current month in the calendar are edited by the template.
      • If Quarter is selected for Budget Edit Period Type, then all quarters up to the current quarter in the calendar are edited by the template.
      • If Year is selected for Budget Edit Period Type, then all years up to the current year in the calendar are edited by the template.
    Start Year
    To restrict the template to a specific year or range of years, select the start year and end year.
    End Year
    To restrict the template to a specific year or range of years, select the start year and end year..

    If this field is blank, then the template edits are applied to the entire calendar year.

    Enable Logging
    Select this check box to enable the obligations log for the budget edit template.

    Selective Budget Groups Generation on Activate
    If there is a large number of budget groups for the template, then select this check box to reduce processing time.

    Tolerance Option
    Select whether theAmount Tolerance value is Percentage or Amount.
    Amount Tolerance
    Specify the percentage, or the amount, that the budget can be exceeded or reduced.

    If the value is a positive, then the budget can exceed based on this value. If the value is negative, then the budget can reduce based on this value.

    Depending on which option is selected in the Budget Edit Date Range field, the budget is computed with this information:

    • If Period is selected for Budget Edit Date Range, then the percentage, or the amount, applies to each period’s budget.
    • If Year To Date is selected for Budget Edit Date Range, then the percentage applies to the aggregate budget of the year’s previous periods up to the current period. The fixed amount is added on top of the aggregate budget of the year’s previous periods up to the current period.
    • If Life To Date is selected for Budget Edit Date Range, then the percentage applies to the aggregate budget of previous periods up to the current period. The amount is added on top of the aggregate budget of the previous periods up to the current period.

    Check Groups
    Select this check box to monitor budget groups that have reached the budget or exceeded the budget threshold.
    Check Threshold
    If the Check Groups check box is selected, then specify the budget check threshold.
  6. In the Dimension section, select the template dimensions and the type of edit for each of the applicable dimensions.

    You can enable a template to edit against the budget scenario dimensions or a subset. For example, if accounting unit is contained in the finance structure, then the entity or department can be selected, but not both.

  7. In the Dimension section, specify this information:
    Manual
    To select a specific posting element that is edited, select the Manual check box for the dimension.
    Posting
    To edit at the posting level of a dimension, select the Posting check box for the dimension. All posting elements that are in the basis hierarchy with Include In Budget Edit field are included.
    Budget Identifier
    To edit at the summary level of a dimension, select a budget identifier for the dimension. All summary dimension elements in the basis hierarchy with the specified identifier are included.
    Edit Blank Posting Elements
    Select this check box if non-required dimensions and transactions are supported by your finance structure setup and transactions with blank elements should be edited.

    When you select this check box, budget groups are generated for the template that include blank elements for non-required dimensions. If transactions exist with blank elements, then the edits are against these budget groups. To edit transactions against a budget group with blank elements, a budget must be defined for this budget group.

  8. Click Save.
    If you selected Manual in any of the dimensions, then select the Manual Elements tab to specify the posting elements for the template.
