Creating transactions for a journal entry

  1. Select Processing > Journal > Journals.
  2. Open an Unreleased journal entry.
  3. On the Transactions click Create.
  4. Specify this information:
    Finance Structure
    For each individual finance structure component, specify a value.
    This is the accounting string that is used to post the transaction. It corresponds to the finance structure that is defined for the finance enterprise group. The ledger and accounting entity values from the journal control are the default values. You cannot change the ledger. You can change the accounting entity only for Inter Entity journal entries. The finance enterprise group's finance structure settings and the relation rules determine what other components must be completed.
    Transaction Date
    The transaction date from the journal control is the default. You can also specify a different date.
    Amount
    Specify the amount of the transaction. Use positive amounts for debits and negative amounts for credits.
    Currency
    Select a different transaction currency to override the default from the journal control.
    Unit
    If the account that you select allows or requires units, then you can specify the number of units.
    Reverse Transaction
    The value from the journal control is the default. The value can be changed by selecting this check box. The transaction is reversed when the journal entry is posted.
    Event
    The event value from the journal control is the default value. You can specify a different event.
    Description
    The description from the journal control is the default when you save the transaction line and the description field is blank. If you specify a new description, then that description is used for the transaction line.
    Reference
    The reference from the journal control is the default. You can also specify a different reference.
  5. Specify the amount and currency rate for the currencies.
  6. Click Save. The transaction is created in Unreleased status and can still be changed.
  7. To add a comment, click the Comments tab and click New. Only the title of the comment is required.
  8. You can also copy the existing transactions on the Transaction form or Transaction List. Click Actions and select Copy Transaction.
  9. To create additional transactions for the journal entry, repeat steps 4 to 8.
