This section contains enhancements in Infor Financials and Supply Management for 11.0.83.0.

Add IDM Attributes for Contract Document

IDM Attributes: Supplier Name

Program/Business class/Process affected:

  • Contract
  • idm-configuration.xml
  • IDM

Use these steps to test the enhancement:

Setup:

  1. Two Contract Classification:
    • Contract Classification with an Approval type of "Approvals with no Redlining" for Contract DocumentContract Classification with an Approval type of "Approvals with Redlining on Document" for Contract Redline Document
  2. Ensure that Contract Classification has "Use IDM" enabled.

Processing:

To test a contract document:

  1. Contract Classification with an Approval type of "Approvals with Redlining onCreate a contract. Assign a Contract Classification with an approval type of "Approvals with no Redlining."
  2. Assign an IDM Template.
  3. Run Create Contract Document action.
  4. Click the "Open Contract Document" view link. The user will be redirected to Document Management to view the document.
  5. In Document Management, navigate to Attributes tab and see the new attribute "Supplier Name".
  6. In FSM, change values which have references to IDM attribute (e.g. Supplier Name)
  7. Perform Release action. The attributes of the document will not be updated.
  8. Run Create Contract Document action again.
  9. Click on "Open Contract Document" view link to check the updated attribute "Supplier Name" in the new document.

To test a contract redline document:

  1. Create a contract. Assign a Contract Classification with an approval type of "Approvals With Redlining on Document".
  2. Assign an IDM Template.
  3. Run the Create Contract Document action.
  4. Click the Open Contract Document view link. You are redirected to Document Management to view the document.
  5. In Document Management, navigate to Attributes tab and see the new attribute "Supplier Name".
  6. In FSM, change values which have references to IDM attribute (e.g. Supplier Name)
  7. Run Update IDM Redline Document. Attributes are the same but the document changed.
  8. Run the Create Contract Document action again.
  9. Click on "Open Contract Document" view link to view the updated document.
  10. New attributes and Contract Redline Document should be updated.
  11. In FSM, change values which have references to IDM attribute (e.g. Supplier Name)
  12. Perform "Release" and check the attribute in Document Management. Verify that the attribute is updated.

Added Supplier Name Attribute to FSM_ContractRedlineDocument Document type for easier searching/viewing of Redline Documents.

To test the enhancement, upon idm-configuration.xml file import, verify that the Contract Redline Document Document Type has the additional Supplier Name attribute.

Add IDM Contract addendum document template and processing for Contract

Customers need an easier way to view contract changes during Addendum when using IDM.

Use these steps to test the enhancement:

  1. Sign in as Supply Management Administrator.
  2. Select Contract Management > Sample Contract Document Template > Addendum.
  3. Verify that predelivered IDM Sample Document Template For Addendum Documents are now available for download.
  4. Select Contract Management > Contract Document IDM Templates.
  5. Verify that there is an Addendum tab. On the Addendum tab you can upload the predelivered template, or your own customized template.
  6. In a Contract Classification/Subclassification that Uses IDM, verify that there is now a field for Addendum Documents. Verify that you can assign the template that you uploaded earlier.
  7. Click the link beside the assigned templates for Contract Document and Addendum Document, they should now be downloaded immediately.
  8. Create Contract Articles with Terms that have Docx Attachments.

Processing IDM Contract Addendum:

  1. Sign in as Contract Manager.
  2. Create a Contract using the Contract Classification/Subclassification you assigned a template to earlier. Add the created Article/s and create Contract Lines.
  3. Process the Contract until it reaches an active state.
  4. Run the Create Contract Addendum action. Edit Terms for an assigned article. Add a new Contract Line.
  5. Process the Contract until it reaches an active state.
  6. In the Contract panel, click the Contract Version link.
  7. Click Print for Contract Version 1.
  8. Addendum Document Template field in this screen should now be an IDM Template rather than an RTF one. Value should have been inherited from assigned Classification/Subclassification. If there was no assigned template in Classification/Subclassification, this will be blank and it will show an alert message.
  9. Run the Create Addendum Contract Document action and refresh. The Addendum Documents list record is created, and IDM Document is Generated. Click the Open Addendum Document link, the IDM Document Record is opened in Document Management. Document Type of Generated record is FSM_ContractDocument. Under Attributes, Addendum is true, and Contract Version is populated. Open Generated Document, document only contains Articles whose terms were edited earlier and the newly added Contract Line.
  10. Run another Create Addendum Contract Document, another record is created but only newest record shows Latest Addendum Yes, older record updates to Latest Addendum No.
  11. Go to My IDM Job List, there are 2 new records with description “Create Addendum Document." Status is Finished.

Contract Addendum RTF changes:

  1. Classifications/Subclassification that doesn't use IDM will also have their Contract and Addendum Templates in 1 row.
  2. List for Generated Contract Addendum Documents will show Latest Addendum column rather than Latest Document.

Create related reference showing Previous Contract for copied contract

Use these steps to test the enhancement:

  1. Create a contract with lines, then release and activate it.
  2. Select Manage Contracts > In Process
  3. Perform the Create From Contract action.
  4. Specify the contract that you just created and complete the action.
  5. When the newly created contract opens, select the Related References tab.
  6. Verify that a record is displayed that shows the details of contract from which the copy was created. These related references were not being created previously. If you highlight the line for the old contract, verify that the View Previous Contract navigation shows you the old contract.
  7. Navigate to the previous contract and select the Related References tab.
  8. Verify that a record of the type Copied To Contract that displays the new contract.

Improve handling of contract line close in conjunction with GPO contracts

Program/Business class/Process affected:

  • Group Purchasing Organization contract to Manufacturer Contract processing

Use these steps to test the enhancement:

  1. Create an interface contract from Group Purchasing Organization data.
  2. Create a manufacturer contract from the interface contract.
  3. Set the Contract Group > Do Not Allow Manual Updates to GPO Related Fields field to true.
  4. Attempt to close a line or the whole contract on the manufacturer contract.
  5. Expected results: The Close Contract and Close Line actions should not display

    For any non Group Purchasing Organization related contracts, the Close Contract and Close Line actions should display.

  6. Set the Do Not Allow Manual Updates to GPO Related Fields to false.
  7. Expected results: The Close Contract and Close Line actions should display.
  8. Close one of the lines on the manufacturer contract.

    For the same line on the interface contract, change the cost and set the Update Function to Update.

  9. Expected results: The Update Function will be set to Create and an error message will be created indicating what took place.
  10. Run the Process Contract Line Updates action.
  11. Expected results: A new contract line will be created.
  12. Change the unit cost of the line on the interface contract and set the Update Function to Update

    Run the Process Contract Line Updates action.

  13. Expected results: The non closed manufacturer line cost will update.
  14. For a different contract line, close the line on the manufacturer contract.

    Delete the line from the GPO item list (this will have to be done using a configured action).

    On the interface contract, change the unit cost for the line and set the Update Function to Update.

  15. Expected results: An error record will be created indicating the line should be removed from the system. The Update Function will be cleared.
  16. Run the Remove Missing GPO Items action on the interface contract.
  17. Expected results: The interface line will be deleted.

    The action will run with no errors.

Update Sample Document Template documents and lists

Use these steps to test the enhancement:

  1. Select Sample Document Templates.
  2. View all lists. Verify that the search bar is displayed immediately. Verify that the check box is not displayed.
  3. Verify these documents for the following differences:
    • ROLESANDSECURITYCLASSES_ST- ARCustomerSetup_ST security class should only be associated with the FinancialsAdministrator_ST, ReceivablesAdministrator_ST, and ReceivablesManager_ST roles in the Role Setup tab
    • WHENCONTRACTSCANBEUPDATED_ST- reference to what statuses are allowed to update terms and conditions after a Contract is activated should be Addendum
    • EVENTBESTANDFINALANDTWOSTEP_ST- Should contain a table of contents
