Generate Invoice and Recognize Revenue individual actions by project funding source

This change adds the ability to run Generate Invoice and Recognize Revenue individual action by project funding source. Add an optional parameter to select a single funding source for the action.

Use these steps to test the enhancement:

On Generate Invoices and Recognize Revenue individual actions select a single funding source. The feature works as if the selected funding source is the only active funding source. If they entered a single source that was less than 100% we treat it the same way we treat a contract that has no 100% sources. We invoice the percentage, stamp the expense as processed, and move on.

Move Project Indirect burden mass job to go to Project Invoicing and Revenue Queue

Issues or shortcomings encountered:

The Indirect Burden job to Remove Burden AP Hold was going to the Default queue instead of the Project Invoicing and Revenue queue with the other indirect burden jobs.

To test the enhancement:

When running the Remove Burden AP Hold job, verify that the queue it runs in is the Project Invoicing and Revenue queue.

Project invoicing partially billed transactions call out actions

Issues or shortcomings encountered:

Only two actions exist on the Project Contracts Partially Billed Transactions tab. Called out actions to display on the screen when they are available. Remove Hold if transaction is on hold and you want to release it to be invoiced. Put On Hold if the transaction is not on hold and you do not want it to be invoiced on the next invoice.

  2. Put transaction on hold and then remove hold.

Add ability for approver to update fields prior to approval for project request actions

Users with the Approver role can update action fields prior to approval for project request actions. Project request actions include:

  • Request new posting project
  • Request new employee for project
  • Request new project status change

This allows the approver to update or correct fields on the request prior to approval, without having to reject the request and make the user re-enter.

Add persistent fields to ProjectContractInvoice to store invoice totals

For customers with invoices with 100's of lines, the Project Contract Invoice tab now loads efficiently.

This enhancement will add invoice totals as persistent fields. This will also require a post-upgrade action to update existing data.

Add ability to enter project dimension on internal funding offset finance structure

Add ability to enter project dimension on internal funding DEBIT offset finance structure. Adding project to the debit offset finance structure will allow users to transfer expenses to the endowed or restricted project (different project).

Use these steps to test the enhancement:

Add a project contract with a funding source that is an internal fund type. Enter project dimension on the internal funding Debit offset finance structure on the project funding source setup. Generate and Journalize invoice. Ensure the project dimension is present on the debit entry.

Add original budget column to project variance, obligation and percent complete reports

Issues or shortcomings encountered:

Add original budget column to project variance, obligation and percent complete reports. Currently, project reports display total budget which includes original budget plus any budget change orders. This enhancement will add an additional column to the reports which displays the original budget. All budget variance amounts/percentages and remaining budget calculations will not change. They will continue to use total budget.

Use these steps to test the enhancement:

Add budget scenario, update using incremental load and budget change orders. Original budget is tracked for any budget

amounts that are updated via import or incremental load actions. Any budget amounts updated via change requests are

tracked separately. Validate report totals for original and total budget to GeneralLedgerTotals for the budget scenarios.

Add ability to select eligible posting projects by funding source

Issues or shortcomings encountered:

For some federal grants, they have a contract the runs for 5 years. Each year new funding is awarded. If the funding doesn’t roll over to the next year, they will set up a different funding source for each year. In order to better track (budget edit and report) each years expenditures, they are also setting up a new posting project for each year.

Customers wanted an easier way to designate what posting projects are eligible for invoicing and revenue for a funding source. Current solution requires defining eligible projects as part of the eligible expense group definition. This requires adding a custom group for every funding source.

A new business class FundingSourceSelectedProject has been added. As well as a new field has been added to ProjectFundingSource.SelectedProjectsOnly. The Default = False.

Use these steps to test the enhancement:

Add a project contract with multiple funding sources and multiple posting projects. Check the include selected eligible projects only box on funding source setup. Select a subset of projects for each funding source. Run Generate Invoices and Revenue Recognition actions and ensure only the selected posting projects are invoiced/recognized for the funding source.

Add a project contract with a funding source percent less than 100%. Run Generate and Journalize invoices and ensure that when invoicing less that 100% no partial invoice transactions are generated.
