Enhance manual emailing features for Payables Invoice (Credit Memo/Chargeback, Debit Memo)

Previous implementation of manual emailing does not take advantage of new IDM email Cc field. Users must edit Payables Company and Vendor Contacts' data in order to change sender/recipient's email addresses.

Use these steps to test the enhancement:

Setup IDM Payables Companies:

  1. Verify that the Use IDM Template flag is selected.
  2. Assign IDM Document templates.
  3. Enable Email flags for debit memo and cashback/credit memo.
  4. Assign From And Reply To Email.

Setup Vendor:

  1. Add Email Address of PRIME vendor

Process:

  1. Select Manage Invoices.
  2. Create a Debit/Credit memo.
  3. Generate Credit memo/Debit memo.
  4. Click the Email IDM Invoice To Vendor action:
    1. Payables Company's "From" initial value is From And Reply To Email
    2. Payables Company's "To" initial value is the Prime email of Vendor
    3. Payables Company's "Cc" initial value is From And Reply To Email (no initial value if From And Reply To Email is "no.reply@inforbc.com")
  5. Send the email.

Previous implementation of manual emailing does not take advantage of new IDM email Cc field and users need to edit company customer and contacts' data in order to change sender/recipient's email addresses.

Use these steps to test the enhancement:

Setup IDM Billing Company:

  1. Select Invoicing Options and verify that the Use IDM Template field is selected.
  2. Select Document Templates >Assign IDM Document templates.

Setup IDM Company Customer:

  1. Add Email Address for Company Customer.
  2. In Document Distribution Options section, select Billing Invoice fields for Email.
  3. Billing>enable Billing Invoice flag for Email. Assign From And Reply To Email.
  4. On the Contacts tab, assign contacts, provide email address, and enable Billing Invoice flag in the Document Distribution Options section.

Process:

  1. Select Billing Invoices.
  2. Create an Invoice.
  3. Add Lines.
  4. Generate Invoices and Release them.
  5. Run the Email Invoice To Customer action and verify that a pop up window is displayed:
    1. Initial value of From is From And Reply To Email
    2. Initial value of To is the email address of the Contact Information's Company Customer
    3. Initial value of CCs are the email addresses of the Contacts in Company Customer and From And Reply To Email , unless From And Reply To Email is "no.reply@inforbc.com"
  6. Send the email.

Enhance manual emailing features for Payables Payment Output (Remittance Advice)

Enhance manual emailing for Remittance Advice IDM document to include CC email address as parameter.

  • Payment Output File Header
  • Payment Output File Detail

Use these steps to test the enhancement:

Test the manual email action of Remittance in Payment Output File Header and Payment Output File Detail. There should be a CC email address parameter in the email action under Payment Output File Detail. Parameter in Payment Output File Header email action has been removed but should behave the same with the email action in Payment Output File Detail.

Use these steps to test the enhancement:

Setup IDM Receivable Companies:

  1. Ensure that the Use IDM Template field is selected.
  2. Assign IDM Document templates.

Setup IDM Company Customers:

  1. Add the Email Address of the Company Customer.
  2. In the Document Distribution Options section, select the Receivable Invoice fields for Email.
  3. Assign From And Reply To Email fields.
  4. On the Contacts tab, assign contacts, provide email addresses, and enable Receivable Invoice field in the Document Distribution Options section.

Process:

  1. Select Processing>Invoices.
  2. Create an Invoice Batch.
  3. Add Transactions.
  4. Add Distributions.
  5. Release the batch and Generate Invoices.
  6. Generate each transactions.
  7. Select an invoice batch and run the Email Invoice To Customer action:
    1. Company Customer's "From" is the Company Customer's Document Distribution Options email.
    2. Company Customer's "To" is the primary email of the Company Customer.
    3. Company Customer's "Cc's" are Company Customer Contacts email addresses.
  8. In the Transactions tab, Email Invoice To Customer. A pop-up windows is displayed.
    1. Initial value of From is the Company Customer's Document Distribution Options email.
    2. Initial value of To is the email address of the Contact Information's Company Customer.
    3. Initial value of CCs are the email addresses of the Contacts in Company Customer and From And Reply To Email (unless From And Reply To Email is "no.reply@inforbc.com").
  9. Send The email.

Print Invoice Comments for Project Contract Invoice

Added Project Contract Comments and Project Contract Invoice Comments in IDM generated Project Contract Invoices.

Use these steps to test the enhancement:

Setup IDM Project Contract Invoice:

  1. Use IDM Template flag enabled.
  2. Assign templates in Invoice format and Invoice Reversal format.

Setup Project Contract Comments:

  1. Sign in as Project Administrator and select Project Contracts. Select the project.
  2. On the Comments tab, create a new comment and select the Print On Invoice field.

Process:

  1. Sign in as Project Administrator and select Project Contracts. Select the project.
  2. Click the Generate Invoice action. Verify that your Project Contract Comment is available in the IDM generated Project Contract Invoices.
  3. Setup Project Contract Invoice Comments:
    1. Sign in as Project Administrator and select Project Contracts. Select the project.
    2. On Invoice Detail, right-click the Invoice and select DrillAround > Project Contract Invoice Comment.
    3. Create a new comment and select the Print On Invoice field.
  4. On the Invoice Detail tab, select the Invoice.
  5. Verify that your Project Contract Invoice Comment and Project Contract Comment are displayed in the IDM generated Project with these actions:
    1. Regenerate Printable Invoice
    2. Journalize Invoices
    3. Reverse Journalized Invoices
    4. Regenerate Printable Reversal Invoice

Update ALL FSM pre-delivered IDM Templates to update the document properties

Enhance All Sample IDM templates to update the document properties that are required to minimize the file size of the generated document.

Use these steps to test the enhancement:

  1. Use the updated sample templates and generate the documents.
  2. Verify that the generated document file size is smaller. From MB to KB.

Option to configure Batch Print Count for Check and Remittance

New Batch Print Count field in Cash Payment Format. Specify a value to set the number of IDM-generated documents are bundled before sending to printer.

  • Cash Payment Format
  • Payment Output File Header
  • Payment Output File Detail

Use these steps to test the enhancement:

  1. Set the Batch Print Count field in Cash Payment Format. The default or initial value of this field is 100.
  2. A number higher than 100 but might exceed the IDM Print limit. Confirmation is required when the value is greater than 100.
  3. Verify that check or remittance printing from Electronic Payment Creation is faster than before, depending on the batch print count.
  4. Test the manual Print actions in Payment Output File Header.

Dependencies: A template update must be applied for Check and Remittances. This template enhancement minimizes the file size of the generated document. See the steps in KB article KB2190121.
