Uploaded documents

Use the Create Uploaded Document function to upload files such as PDFs or spreadsheets to your site.

Note: Active documents can trigger a security feature that prevents the documents from being uploaded or accessed from the portal. Do not upload active files such as spreadsheets that use embedded macros or other dynamic components. To make active documents available to portal users, you must host these documents on your organization's servers and use an integration document to link to them to the Knowledgebase portal.

Uploaded documents can include content that users can read and forms that users can download and print. Uploading a document is practical when the document type is less convenient to author and maintain as HTML. For example, a weekly spreadsheet.

The upload process includes these steps:

  • Uploading a document, which includes selecting the file to upload, associating the uploaded file with an article in the system, and assigning meta tags
  • Setting access to the document
  • Adding subject, section, and keyword meta tags as required
  • Checking the document in
  • Publishing the document

You can upload these file types in the HRSD Knowledgebase:

Note: Image file types are not content files. You can upload these directly within a document.

Landing pages and link placement

When you upload a PDF, spreadsheet, or other file, you assign it to a primary landing page and to a section of that landing page. When you assign an uploaded document to a landing page, the document’s meta tags control where links to that document are displayed on the site. These tags determine the section of the primary landing page where the link is shown and any widgets or secondary pages where the link is displayed.

This table shows the parts used to determine where links to an uploaded document are displayed:
Part Description
Primary landing page During upload, you select an article or source document , which determines the landing page where the primary link to the document is displayed. The Subject meta tag is preconfigured based on the selected article.
Landing page section You configure a Section meta tag to specify the section of the primary landing page where the link is displayed.
Secondary locations You add meta tags to control additional placement. Use Section meta tags for other landing pages, Widget meta tags for widgets, and keyword meta tags to associate the document with search terms.
