Versions

Each time a document is checked in, a new version is created. You can perform these actions when you are viewing the document or when you check out a document for editing:
  • View and recover previous versions of the document
  • View the check in history and notes of the document

To view the version list of a document, you must check out the document. Then, select Views > Versions.

To view a specific version of the document, click the version name.

To recover a version, click the radio button that corresponds to the version and click Recover. This action creates a copy of the original document with no inheritance. The document name matches the current version, but the code and file name differ. You can edit and publish the recovered document.

Viewing the audit trail of a single document

You can track a document’s history to view the check in and check out activity, the users involved, and document changes.

  1. Log in to HRSD Knowledgebase.
  2. On the Home page, click the ellipsis icon.
  3. Select Document Manager.
  4. Locate the document.
  5. If the document is not yet published, click Edit. If it is published, select the name of the document.
    If the document isn't checked out by another user, it becomes checked out and available for editing. If the document is checked out by another user, you can't check out the document until the other user checks it in.
  6. Select Views > Audit Trail.

Viewing the portal content audit

Toolset users can view the Audit Report, which lists the documents that have changed, the actions that were performed at each change, the users who made the changes, and the dates of the changes.

  1. Log in to HRSD Knowledgebase.
  2. On the Home page, click the ellipsis icon.
  3. Select Document Manager.
  4. Select Report > Audit.

Viewing a document's inheritance hierarchy

You can view a document's parent and child documents.

  1. Log in to HRSD Knowledgebase.
  2. On the Home page, click the ellipsis icon.
  3. Select Document Manager.
  4. Locate the document.
  5. If the document is not yet published, click Edit. If it is published, select the name of the document.
    If the document isn't checked out by another user, it becomes checked out and available for editing. If the document is checked out by another user, you can't check out the document until the other user checks it in.
  6. Select Views > Hierarchy.
