User roles and permissions

Role-based access is used in HRSD Knowledgebase to define what each user can view or manage in the portal and the actions they can perform.

Administrators create and maintain user accounts that involve creating or editing roles to ensure correct access to HRSD Knowledgebase features and content to perform actions that involve the creation or editing of content. Each user account stores details such as user name, email address, and password.

Note: In most cases, client user accounts are created automatically through SSO integration or census file uploads. Administrators typically use the portal to add occasional accounts or to review and manage individual user accounts for specific groups.

To perform actions that involve creating or editing content, the user must meet these conditions:

  • Assigned a user role that is required to perform the action described
  • A member of a group that has been assigned access to the document

This table shows the types of roles and their type of access:

Type Description
Producer A user with permission to perform some or all available toolset functions.
Reviewer A user with permission to comment on documents. The reviewer can edit documents only in workflows.

Infor HRSD Knowledgebase Content Management user names must follow established naming conventions. The user ID format is the first three letters of the organization name in uppercase, followed by the user’s first and last name. For example, an Infor HRSD Knowledgebase Content Management user named John Jones must use INFJJones as the account name. The Content Management account is separate from the user’s employee account. HRSD Knowledgebase Content Management users must manually sign in to the Stage environment to use HRSD Knowledgebase Content Management.
