Meta tags
In the context of this toolset, meta tags are used to map uploaded documents to the system framework and to the search engine. Links to properly tagged uploaded documents are shown in the portal with the logic determined by the system’s intuitive interlinking.
There are three broad categories of meta tags that you can use to optimize your site:
- Primary Location: meta tags that determine the article where a link to an uploaded document is available on your site. These tags are mandatory.
- Secondary Location: meta tags that determine other areas of the site where a link to an uploaded document is available.
- Key Word: meta tags that key to search terms that the end user enters. These tags are recommended.
When you upload a document—for example, a PDF with information about Community Service opportunities—you need to determine where on the site the document is displayed, so your users can find it easily. With a conventional content management system or web site, you might designate a folder or page where the PDF would be placed. Then you would place links to that document throughout your site.
The knowledgebase manages content with a more intelligent method. The behavior of uploaded documents, like the PDF with information about Community Service opportunities that is used in our example, is managed by meta tags rather than by hard links. By assigning the standard location meta tags to the PDF, you map the PDF to the framework. Coupled with group rules and other variables, this mapping determines when and where links to the PDF are displayed on the site.
About Location Meta Tags
One of the great strengths of the knowledgebase is its pre-built navigation and cross-referencing capabilities that facilitate the intelligent contextualization of information. By following Infor's best practices for content management, the customer-side individuals who maintain and contribute new content to their sites utilize these capabilities to their full extent. This is especially important for individuals who upload documents through the toolset.
For uploaded documents, you must use the standard Location meta tags that are available in the Document Details area of the Create Uploaded Document form, to determine an uploaded document’s primary access point on the site.
Location Meta Tag Strategy
Assigning meta tags to an uploaded PDF probably sounds like a straight-forward process. But how do you determine which tags to use? Infor provides the tags that are assigned to all content on the site. You just need to look at the values in the
drop-down menu on the form, find a content article that most closely resembles your uploaded document in terms of its contents, then assign that article to your uploaded document.For example, let’s say you just uploaded that PDF with information about Community Service opportunities, you have assigned access to it, and now you need to tag it. In the Article dropdown menu on the Create Uploaded Document form, you find an article called Community Service. That sounds like what you’re looking for, so you select that article, and the tags associated with the article are applied to the uploaded document. Now, because the PDF is tagged the same way the Community Service article is tagged, the link to the PDF displays anywhere the link to the Community Service article is tagged. In short, it is piggy-backing the Community Service article.
Definitions
Article: Content that is authored in the tool’s proprietary languages and displayed on a web page.
Uploaded Document: A file that is uploaded to the system and delivered to the user as a whole file, not as an authored article.
Knowledge Domain: A bucket of articles with like subject matter. Examples are Benefits, Leaves, and Pay.
Meta Tag: In this particular application, identifiers that the system uses to determine display characteristics and other behaviors.
Key Word Meta Tags
Key Word meta tags are used to identify an uploaded document to the search engine. There is only one type of meta tag used for this purpose: the keywords meta tag. The keyword meta tag has a 250-character maximum, including commas and spaces.
