Uploaded documents

You can upload a file, such as a PDF or a spreadsheet, to your site with the Create a New Document function.

Note: Do not upload active files, such as spread sheets that use embedded macros or other dynamic components. Because active documents may trigger a security feathre that prevents them from being uploaded or accessed from the portal, they are not allowed. If you want to make active documents available to portal users, the best practice is to host those documents on your organization's servers and link to them from the Knowledgebase portal.

Uploaded documents can include content that users can read and forms that users can download and print. Uploaded documents are created and edited in a separate program and then added to your site. In contrast, html-encoded documents are created and edited with the Knowledgebase tools. Uploading a document is practical when the document is of the type that is less convenient to author and maintain as html (for example, a weekly spreadsheet).

The upload process includes these steps:

  • Upload a document (in which you select the file you want to upload, associate the uploaded file with an area and article in the system, and assign meta tags).
  • Set access to the document.
  • Publish the document.
  • Check in the document.
