Generating the Posting Journal Report
Use this screen to generate a report that includes all the transaction codes (including book keeping transactions) posted on the specified date range. The report includes transaction that are related to the folio posting or advance deposit posting.
This report is used by the front desk staff.
To generate the Posting Journal Report:
- Select Administration > Reports > Accounting > Property Ledger Posting Journal.

Specify this information in the Report Parameters section:
- Property
- The property code for which the report is generated. This
value is defaulted.Note:
You can modify the value.
- Transaction Type
- The type of transaction such as food and beverage revenue, room revenue and tax.
- Transaction Code
- The transaction code and description based on which the
report is generated.Note:
You can select multiple transaction codes.
- Created By
- The user who posts the transaction.Note:
You can select multiple users.
- Account
- The account for which the transaction is posted.Note:
You can select multiple accounts.
- Group By
- The category based on which the information in the report
is grouped.Note:
The default value is Transaction Code (TC). However, you can modify the value.
- Exclude Created By
- The user name or ID. The transaction posted by this user
are not included in the report.Note:
You can select multiple users.
- Building
- The building code based on which the transactions were posted
are included in the report.Note:
You can select multiple building codes.

Set these parameters in the Report Options section:
- Include Advance Deposits
- If this check box is selected, the transactions that are
posted to the advance deposit ledger are included in the report.Note:
By default, this check box is selected. However, you can modify the value.
- Include Lease Rental Deposits
- If this check box is selected, the report includes a rental deposit ledger section and the associated transactions.
- Include Lease Security Deposits
- If this check box is selected, the report includes a security deposit ledger section and the associated transactions.
- Include Lease Incidental Deposits
- If this check box is selected, the report includes an incidental deposits ledger section and the associated transactions.
- Include Guest Ledger
- If this check box is selected, the report includes the
transactions that are posted to the general ledger. Note:
By default, this check box is selected. However, you can modify the value.
- Discount Postings Only
- If this check box is selected, the transactions on which
the discount is availed are included in the report.Note:
If you select this check box, the system does not consider these parameter settings:
- Include Advance Deposits
- Include Lease Rental Deposits
- Include Lease Security Deposits
- Include Lease Incidental Deposits
- Show Credit Card Details
- Show Credit Card Details
- If this check box is selected, the report includes the credit card name and details used for the payment transactions.
- Show Comments
- If this check box is selected, the report includes the comments related to the transaction posting.
- Show Net Amount
- If this check box is selected, the report includes the net amount of transaction.
- Show Tax Amount
- If this check box is selected, the tax amount is included in the report.
- Show Transaction Code Details
- If this check box is selected, the report includes the details of the specified transaction code.
- Show Count
- If this check box is selected, the report includes the number of the transaction lines.
- Show Quantity
- If this check box is selected, the quantity that is associated with the transaction is included in the report.
- Show Quantity as Unit Sold
- If this check box is selected, the quantity that is
associated with the transaction is calculated and included in the report.Note:
You must select this check box only for the transactions that were posted using HMS version that is prior to 3.6.
- Show Tax as a separate section
- If this check box is selected, the report displays all the tax transactions in a separate section.
- Show Void Section
- If this check box is selected, the report includes an
additional section for the adjustment transactions. The report main
section does not display any transaction other than adjustments in
the void section. However, the total Amount remains the same.Note:
If the transaction is reversed, both the voided and the void transaction are included in this section of the report.
- Show Transfer Section
- If this check box is selected, the report includes an additional section for the transfer transactions.
- Show Market Segment
- If this check box is selected, the report includes the market segment that is associated with the guest account.
- Show Rate Plan
- If this check box is selected, the report includes the details of the rate plan associated with the guest account.
- Group By Building
- If this check box is selected, the information in the report is grouped based on the building code.
- Include Number of Covers
- Select this check box to include the transaction count that are s old using POS, in the report.
- Include Adjustment Reason
- Select this check box to include the reason for adjusting the postings in the report.

Specify the Start Date and the End Date in the Data Range section.
Note:
By Default, the Start Date and the End Date are set to the Hotel Date.

Click Print
Record.
Note:
By default, the report is sorted by Time. You can also sort the report by Created By, Guest Name, Status, Transaction Code, Transaction Type, Room and Account.
