Creating rooms
- Select Administration > Property > Rooms > Room Configuration.
- Click New Record.

Specify the room details such as Room Number, Room Description, Room
Type, Property, Inventory Start Date and Inventory End Date.
Note:
- The Building field in the Room Configuration screen is defaulted with the value specified in the Room type screen and cannot be modified.
- The Key Vendor must be specified, if the device is of the type Key Cutter and the KEYVENDORREQ parameter is selected.

Specify this information in the Room Details section:
- Status
- The status of the room.Note:
You can only set the status value to Active, when the status of these fields is set to active:
- Room Type
- Property
- Bath Room 1, Bath Room 2 and Bath Room 3
- Suite Component Rooms
You can only set the status value to Inactive, if:
- The room is not assigned to a reservation with status Reserved or In-house.
- The room does not have an active Work Order or Manual Room Hold.
- The room does not have an active lease.
- This room does not have an active Lease Upgrade.
- The suite family including the associated component rooms, other suites of the component rooms and the component rooms of these suites rooms do not have the status set to Active.
- Rental Charge
- The rental charge that is calculated for the upgrade room for the
date range.
For example: if the main Lease room rental charge is set to 1000 and the upgrade room has a rental charge of 1250, then the guest is responsible to pay the difference in the amount.
User is allowed to specify this charge.
- Hire Charge
- The rental charge that is calculated for the upgrade room for the
date range.
User is allowed to specify this charge.
- Maintenance Charge
- The rental charge that is calculated charge for the upgrade room
for the date range.
User is allowed to specify this charge.
- Service Charge
- The rental charge that is calculated for the upgrade room for the
date range.
User is allowed to specify this charge.
- Rental Percent
- This field is enabled based on the setting of Use Inclusive Rate Distribution checkbox
in the Lease Configuration screen.
Note: The user is not able to modify this field if the Use Inclusive Rate Distribution checkbox is cleared in the Lease Configuration screen. The value for this fields range from 0.0001 to 100.
- Hiring/Maintenance/Service Percent
- The user can specify these values based on the selection of
Inclusive Rate Distribution section in the Lease
Configuration screen.
The value for these fields range from 0.0001 to 999,999,999,999.9999.

Specify this information in the Room Location section
- Building
- Select the building code for the room ID.
If the Manage Inventory by Building checkbox is selected in the Property Configuration Screen with Active Status:
- the Building field in the Room Type screen is set as a mandatory option.
- all the room types must have a valid Building assigned.
- The Building field in the Room Configuration screen is defaulted with the value specified in the Room type screen and cannot be modified.
- Housekeeping Home Section
- The housekeeping home section you want to assign this room.
Note: Room numbers are text strings since these can include alphabetic characters. When sorted without a sort order specified, the result is a sort on the ASCII values of the first character. To get all room numbers to sort as numbers the search must be equal in length, or have the sort orders specified.
- Virtual
- If this check box is selected, the rooms
configured are not within the hotel premise. Note:
- By default, the Virtual check box is selected and disabled when the selected Room Type is set to Virtual.
- If this check box is selected, these room location fields are
blank and disabled:
- Building
- Wing
- Floor
- Exposure
- Section
- Sequence
- Housekeeping Home Section

Specify this information in the Module Access section:
- Display in Operations
- If this check box is selected, the front desk staff can view the room.
- Operations Sort Order
- The number at which the room is displayed when sorted in the ascending or descending order. When not specified rooms sort in alphabetical order.
- Display in Housekeeping
- If this check box is selected, the house keeping
staff can view the room.Note:
This check box is disabled if the room is configured as a virtual room.
- Housekeeping Display Order
- Specify the number at which the room is displayed
when sorted in the ascending or descending order. When not specified rooms
sort in alphabetical order by value.Note:
This field is disabled if the room is configured as a virtual room.
- Housekeeping Home Section
- The housekeeping home section to which this room must be assigned.
Note: Room numbers are text strings since these include alphabetic characters. When sorted without a sort order specified, the result is a sort on the ASCII values of the first character. To get all room numbers to sort as numbers these must be equal in length, or have the sort orders specified. - In the Housekeeping Points section, specify a point value for each room status.

In the Owner Rotation Details section, specify the required
information. When there is an ownership change specify the new owner, the owner start
date, and optionally the new owner end date. See additional details about these
fields:
- Current Points
- The total amount of points the room has
accumulated to date. Note: This field cannot be modified.
- Owner Initial Point Method
- The point method for the room. Options include:
- Points: Selecting this option allows you to specify a number of points in Initial Points.
- Pro-rate Points: Selecting this option causes the system to pro-rate the points. All currently active rooms in the point period by room type are counted, their points are totaled then that number is divided by the room count. This amount is used as the initial points. The initial points must be set on the Room Point Period. And total points must be set for the Room.
- Current Points: Selecting this option causes the system to take the number of points from the previous inventory period and use that as the initial points for the new inventory period.
- Initial Points
- The initial points for the room.
- Room Rental Summary
- Click to view the room rental summary which displays all inventory periods for the room and allows you to search by inventory period.
- Print Details
- Click to print the details of the room's usage.
- Recalculate
- Click to re-calculate the number of current points.
- Set Manual Points
- Click to adjust the number of current points for the room and specify an adjustment reason and optional comments.
Note:- The room configuration with Room Rotation set to Active cannot be modified, if two records with the same property and room code exist.
- The room configuration with leasing status set to No Cancelled cannot be modified if two records with the same property and room code exist.
- Click Save Record and OK.
