Cancellation Activity

This report lists detailed information on guest stays that have been cancelled during the selected date range and is based on the cancellation date of the guest stay. The report includes guest name, VIP code, confirmation number, arrival date, number of nights, rate plan, rate, room type, source, guarantee, preferences, updated by, cancellation date, and cancellation reason. The report then gives a summary for total of reservations and room nights.

You can filter the report by specifying property and updated by. You can optionally show rates and package rates. You can limit the report to show only VIPs. You can optionally select to report by arrival date. You can sort the report by confirmation number, name, updated by, cancellation date, or cancellation reason.

The following are some of the important points to be noted:

  • If Only VIPs is selected the report will only include cancelled reservations that contain an entry in the VIP field.
  • If Show Package Rates is selected select the report will include the package rate instead of the room rate. If a guest stay record is not staying on a package rate plan, the report will use the rate amount.
  • If Include Preferences is selected the report will include preferences and descriptors if they exist for the preference.
  • Only guest stay records with a cancellation date that falls within the date range are included in the report.
  • There is no field that records the user ID of who cancelled the reservation. The Created By field is modified to the Updated By field as usually the last person to modify the reservation will be the person that cancelled the reservation.
