Creating users
To create users:
- Select Administration > Security > User Setup.

Specify this information:
- User ID
- A unique code identifying the user, and the description of the user. The description is the user’s full name.
- Language
- Select the default language for the user.
- Menu Definition User Group
- The user group to which the user is assigned.
- User ID Expiration Date
- The date on which the User ID expires.
- Password
- The password of the user.Note:
- The password can be a maximum of 64 characters. These combinations p@ssword, u$er, and other similar passwords are not allowed..
- After a set number of unsuccessful attempts to log in, the system locks the User ID and Password. The system administrator or an authorized user must unlock the user record.
- You can unlock the user record using the Unlock User (The system must unlock the user and hide the Unlock Userbutton).
- Password Expiration Date
- The date on which the password expires.
- Locale
- Select the locale of the user.
- Session Timeout (minutes)
- The time in which the system can timeout.
- Alerts and Locator
- The alert and locator type traces displayed to
the user on the Check In , Check
Out and Guest Stay screens. Options
include Alerts and Locator, Alerts
Only, or Locator Only. If not
specified, neither type of trace is displayed.Note: Alerts and Locator are used to notify the user that the guest must be alerted to important information or the location of someone when they approach the hotel operation staff.
- Front Desk Incentive
- Specify the three-digit numerical code that represents the user. The code is sent through an interface message to the Best Western Central Reservation System (CRS) with the guest enrollment information. Best Western uses the code to provide credit to the user for the enrollment of the guest in the Best Western Rewards Program. This field is displayed only when the install parameter BESTWEST is enabled.
- VVIP Authorization
- The authorization that determines the user access
to the VVIP information. The options include:
- Hosted: The user has limited access and can only view the records with the VVIP authorization set to host in the configuration.
- No: The user cannot view any records.
- Yes: The user can view all the records.
- Success Msg. Timeout
- Select the amount of time in which success messages will timeout.
- First Screen
- The code identifying the function to which the system defaults when the user logs into the system.
- E-mail Address
- The user’s e-mail address. The temporary password is sent to this email address in case a user is locked. You can specify the email content in the Text tab of LOGIN screen record in the Screens screen.
- Global Property Manager
- Select to grant the user access to the property management configuration functionality.
- Cash Manager
- Select the check box to provide the user with the privileges of a cash manager.
- Sales Manager
- Select the check box to provide the user with the privileges of a sales manager.
- Screen Designer
- Select if the user can set up the appearance of screens.
- Allow Dataspy Edits
- Select to allow the user to edit Dataspies. This enables the Edit Dataspy button.
- Allow Dataspy Advanced Filters
- Select to allow the user to set advanced Dataspy filters.
- Approve High Cash Payments
- If this check box is selected, the user can specify the User and Password on the Require Manager Approval popup to approve High Cash Payments.
- Infor HMS
- Select to indicate that the user is an Infor HMS user.
- Infer HMS Connector
- Select to indicate that the user Infer HMS Connector user.
- Default Currency
- Select the default currency for the user.
- Default Startup Module
- Select the default startup module for the user.
- Default Wrap-Up
- Select which language the system must be displayed on the Wrap-Up screen in CRS.
- Language Display Rates Configured in Currency
- Select to indicate that the system display the properties rates configured in the selected currency.
- Populate Property List
- Select to display the properties associated to
the user on the initial CRS screen.Note: If not selected, the user must perform a property search for properties to display.

Click
Save.
Note: Click Unlock User to unlock locked users and make them active in the system.
Assigning properties to users
Add or update properties that are linked to a user ID.
To assign properties to the users:
- Select Administration > Security > User Setup.
- Click the user record to view the user Property tab on the List View tab.

Specify this information:
- Property
- The property to assign to the user.
The system automatically populates the property description.
- User Group
- The user group of the user.
- Default
- Select the checkbox to assign a property as the default property for a user.
- Click Save.
