Adding traces to Event Master

To add a trace:

  1. Select Group Sales > Events > Event Master.
  2. Select an existing Event Master on the Record View tab
  3. Select Traces tab.
  4. Specify this information on the Trace Details section:
    Define Trace
    The name and description of the trace.
    Note: 

    You can also select a value from the Defined Traces lockup.

    Topic
    A short description of the trace.
    Trace Details
    A detailed description of the trace.
    User
    The user to whom the trace is delivered.
    Email Address
    The email address to which the trace is delivered.
    Note: 

    You must specify a value in the User or Email Address field.

    Due Date
    The date on which the trace is expected to be delivered to the user.
    Note: 

    The Due Date must be after the current Hotel Date.

    Completed
    Selected this check box to indicate that the trace is delivered.
    Note: 

    You may not modify the trace related date.

    Cancelled
    If this check box is selected, the trace is cancelled.
    Note: 

    You may not modify the trace related date.

  5. Specify this information on the Delivery Date section:
    Trace Delivery Options
    The option based on which the delivery date is determined. The possible values:
    • Date
    • Offset From
    Note: 

    When you select the Offset Fromoption, the Trace Offset From and Days fields are enabled.

    Date
    The trace is delivered on the specified date.
    Trace Offset From
    The method used for the calculation of the Trace delivery date.
    Options Description
    Days Before Start Date The Delivery Date precedes the Start Date of the Event Master, by the number of days specified in the Days field.
    Days After Start Date The Delivery Date is set after the Start Date of the Event Master, by the number of days specified in the Days field
    Days Before End Date The Delivery Date precedes the End Date of the Event Master by the number of days specified in the Days field.
    Days After End Date The Delivery Date is set after the End Date of the Event Master, by the number of days specified in the Days field
    Days after Created Date The Delivery Date is set after the Created Date of the Event Master, by the number of days specified in the Days field
    Note: 

    This field is enabled only if the Trace Delivery Option field is set to Trace Offset From.

    Days
    The number of days by which the Trace delivery date is offset.
    Note: 
    • The value must be an integer.
    • This field is enabled only if the Trace Delivery Option field is set to Trace Offset From.
  6. Click Save.
    Note: 

    By default, the status of the trace is Pending.
